TallyToday overview

What is TallyToday?

TallyToday is time tracking and job costing software for crew-based trades. It joins three things most contractors keep apart: the hours a crew actually works, what a job is costing while it runs, and the document that bills it. Proposals, GPS-tagged clock-ins, live job costs and AIA-style billing run in one system — a browser dashboard for the office, native iOS and Android apps for the crew.

Workers clock in and out from their own phones, with coordinates recorded at both ends of a shift. Location degrades rather than refuses: a live fix, a recent last-known position, or none at all. Shifts can be started and closed with no signal and sync when the phone reconnects — which is the ordinary case in basements, steel buildings and new construction. Hours recorded offline are badged as such everywhere they appear, so an office reviewing a timesheet can see which entries the network witnessed and which are the worker's own report.

Labor cost accrues as hours are worked. Overtime follows the FLSA 40-hour workweek, fixed at the company level rather than per worker, so two people on one crew cross the threshold at the same instant. Pay rates are kept as a per-week history, so a raise prices the weeks after it and leaves earlier weeks alone. Timesheets show hours by employee and by day; weekly totals reconcile exactly with the daily cells they are built from, and workers can be given pay statements to keep.

Material purchases are logged in the field with a photo of the receipt and assigned to a job, reaching the dashboard in seconds. Fixed-price contracts show a live burn of labor, materials and remaining margin, so erosion is visible while there is still time to act on it rather than at close-out. Overhead work belonging to no job is tracked separately, so it does not distort a project's cost.

A proposal is a link the client opens and signs on their phone — no account, no printer, no scanner — and an accepted proposal becomes a project with the contract already set. Change orders adjust that contract on approval. Billing covers fixed-price draws, AIA-style pay applications with retainage and a G702/G703-format continuation sheet, and time-and-materials invoices built from hours and purchases already recorded. Every shift and every receipt is billed exactly once, enforced by the system rather than by memory, and the server refuses a draw exceeding the contract plus approved change orders.

A contractor running both residential and commercial work can keep two brands with two letterheads under one account. Every document carries the brand and template it was issued under and keeps that appearance permanently, so a client who signed in March opens the same document in June.

Deployment is cloud-hosted, with native apps for iPhone, iPad and Android and a browser dashboard for the office; there is nothing to install or maintain on a server. Each company's data is isolated at the database level rather than by application code. Traffic uses platform TLS. Card details are handled by Stripe and never reach TallyToday. An account can be deleted from inside the app, with a 30-day recovery window before personal data is anonymized; time records are retained afterwards as the employer's wage records, which US law requires.

TallyToday does not integrate with third-party accounting systems today. Data leaves as CSV, Excel and PDF exports — timesheets, project costs, invoices and pay statements — and a full account export is available at any time.

Pricing follows crew size rather than features: every plan includes everything, and only workers count toward the limit, so admins, estimators and office staff are free at every size. The 30-day trial takes no credit card. United States only today — the overtime rules, the AIA forms, the address data and the pricing are all American.
