What is Volunteer Ledger?
Volunteer Ledger is a browser-based volunteer program management system for nonprofits. Nothing to install; it runs in any current browser on desktop, tablet or phone.
Core functions
Hour logging accepts either time in and time out, with the duration calculated for you, or a straight total. Mileage is optional on every entry, and batch tools include save-and-add-another and prefill-from-last-entry. Every hour is attributed to an area of service the organization defines and names itself.
The volunteer record holds profile and status, assigned areas, notes, training entries, uploaded documents and requirement history, plus up to 30 organization-defined custom fields. Roster tools include saved smart views (new this year, no hours this month, high hours), bulk actions, and a merge that folds a duplicate record into the correct volunteer, carrying its hours across.
Requirement tracking is rule-based rather than manual. Each requirement type carries its own renewal rule, and status resolves from the expiry date at read time, so current, expiring soon, expired and missing always reflect the underlying dates, not a field somebody forgot to update.
Shift scheduling supports recurring series with an end date, week, month and list views, a needs-volunteers flag, optional self-signup limited to a volunteer's own assigned areas, and reminder emails with a configurable lead time.
A public, tokenized application form can be published on the organization's own website, carrying its logo and custom questions, protected by a honeypot and per-network rate limiting. The link can be rotated from Settings at any time, which invalidates the previous URL immediately. Approving an applicant creates the volunteer record through the same validation path as manual entry.
Reporting
Seven built-in reports: Volunteer Hours by area and date range, Cost Savings at organization-set rates, Active Roster, Individual Volunteer, Recognition milestones, Requirement Expiration, and Upcoming Birthdays. Each exports to CSV, prints cleanly, and can be saved as a preset. Any report can be scheduled monthly or quarterly to up to ten recipients in the organization's own time zone, on a relative range such as last month, so it never freezes a stale window.
Integrations and identity
Microsoft 365 and Entra ID: OpenID Connect single sign-on, plus directory-driven user provisioning that maps Entra security groups to application roles. Reconciliation matches on the immutable directory object ID rather than email, and a disabled account is treated as removed. The integration is one-way and read-only against Microsoft Graph.
CSV import and export for volunteers and hours, with downloadable templates and a preview of every row before any record is written. Imported hours retain their original dates.
Optional white-label custom domain: add a domain in Settings, create the DNS records it returns, and the TLS certificate issues and renews automatically.
Security and data handling
Role-based access with administrator, staff and read-only viewer roles, plus an optional volunteer login scoped to that volunteer's own record. A per-entry audit trail records who created or changed each record. Document storage is staff-only and access-logged, with an optional retention window that disposes of files a set period after a volunteer is deactivated.
The product stores no patient, patron or donor data, and there is no way to link a record to a person being served, so it falls outside the scope that would require a business associate agreement. Hosting is on Cloudflare's network, and each organization's data is isolated to its own workspace, every query scoped to it.
If a subscription lapses the account becomes read-only rather than locked. Records stay viewable and exportable, and nothing is deleted.
Limits
Unlimited volunteers and unlimited hours on every plan. Up to 30 custom fields, 25 MB per uploaded document, 5,000 rows per CSV import, and 450 recipients per email send.
