Pros

We are keeping track of all corporate spend, and submitting them all on time now. The visibility of where all expenses are in their approval process has been great for our users.
The navigation is very user intuitive and there are apps to help simplify expense entry and receipt capture. It has very robust reporting capabilities and support documentation on their community.
Overall the experience has been great and we are happy with it.

Pros

It was incredibly easy to implement and the support we received from the whole Web expenses team was excellent and led to this landing within our company very positively.
The website continues to become more user friendly and their resources for troubleshooting are great.
Customer support is extremely nice and helpful. They are always available to answer any and all questions.

Cons

The errors that get thrown when a business condition is not met sometimes seem a little unpolished. For example, if it warns you to include a note, and you include a note, the warning doesn't go away.
Chrome River has a poor user interface, so is hard for new users to navigate and generally is clunky.
When we first went live with Chrome River then, we went live with the Mercury version and a lot of things were still on the Platinum version so a little inconvenient at the time.

Cons

Unable to label receipts before uploading, only 2 VAT codes, failed transfers can only be reloaded by support.
For example attaching a receipt immediately closes that claim item , so if you need to amend other details, too bad you have to find it and reopen it, a few things like this were a bit weird.
Many give up and just do it on paper/excel and give it to an admin person to suffer through for them. I guess that says it all.

We got rid of a manual Excel based expense system.

Pros

It is web based, meaning I don't have to be in the office to submit my expenses. It can be used on mobile devices. Receipts can be attached. It is easy and intuitive to use. Approval processing is good.

Cons

Integration with our accounting system (JDEdwards) is non-existent. I have devised a way to extract data from Webexpenses using a report, and then upload to JDEdwards. It is quite manual. Accounting is not very sophisticated. There are expense categories, but how they are linked to GL accounts is very basic. But I remember this is an issue with other expense systems. For example, in my previous job I had to administer Concur, and accounting was also very simple.

Cons

iPad doesn't have the option to take a photo and grab info from the receipt like the iPhone app does - still waiting on that feature but I hear it's in the works!

Ease of Use on both the Web and Mobile

Improved the turnaround time of Employee expense claim process from creation to payment.

Pros

Employees can upload their own claim lines on the go with ease. The Support team very responsive support tickets and we have control on when they are set to closed.

Cons

Very time consuming trying to identify receipts easily when in the repository before attaching to a claim line. No rotation on the receipts, this seems to occur on mobile uploads. Experienced teething problems with the API to Xero.

off the shelf expense system. Users submit their expenses instead of accounting team.

Pros

The software is easy to use, user friendly. I like that I can split costs, export data, produce reports.

Cons

I didn't like the fact that you can not part approve an expense claim. You have to reject the whole claim if you don't agree with one item on the list.

A really helpful tool!

We are saving loads of time by automating a lot of the data entry associated with expense claims.

Pros

I really like how this product makes it possible to automate a lot of the expenses process. Before a lot of my time was wasted on duplicating data entry, but now we are able to be completely paperless which both saves money on postage for the company and is good for the environment, and saves me time whilst making audits easier. It integrates to Xero as well which also saves time

Cons

We have multiple organisations in Xero but we can only integrate with one of them. This isn't terrible because I am still saved a lot of time, but it would be even better if this functionality was available. As a very minor point it would also be good if the receipt was maximised when I click on it.

We wanted to provide online and ease of expense submission. This has been achieved, although infrequent users sometimes have difficulty.

Pros

Ease of uploading receipts from phone through taking a picture and auto-filling the details.

Cons

Uploading receipts from laptop. Viewing receipts - some images cannot be zoomed or orientated Reports can be awkward to produce

Simple Easy Expense Tool

Systemised our Expense Process. No longer Paper Based. Simplified the data entry and reduced the time taken to raise expenses.

Pros

Its Simple to Use. The OCR on the Mobile app is great and makes this easy.

Cons

The mileage rate is isn't intuitive enough to add 5p per passenger. So we have to create two lines 1 at normal rate and one with the passenger rate. Not a Big Deal but could be simpler.

Using webexpenses allows me to accurately file my expense and keep a close eye on spending to track budget expenditure.

Pros

Love the ease of use for this system, especially with regards to importing several expenses from a corporate card automatically.

Cons

The user interface can sometimes feel a little bit impersonal, really small feature but would be nice to have some more personalisation features.

That my team can submit their expense reports using their phone or from their computer. I also enjoy that I can adjust the system for any changes in real time which helps our team submit accurate reports.

Cons

I can't upload each expense report into Quickbooks. The system shows a box for VAT even though the team is in the U.S.

Would be good to be able to export reports directly into other Finance systems other than Xero. Such as Microsoft Dynamics GP. Navigation between screens can be a bit hit and miss, sometimes have to go back to the Home page.
