Portals can be accessed via personalised links or self-onboarding with QR codes issued at the point of arrival. The system removes the need for credentials or downloads while ensuring secure and auditable onboarding processes.

Workspaces use a template-based framework to define reusable onboarding steps that combine rich content and compliance actions. Each onboarding step template can include formatted text, images and PDF documents alongside actions such as insurance uploads, safe work method statement collection, digital signature capture and licence verification. Input fields for text entry, date pickers and checkboxes can be configured with required or optional settings. The platform supports PDF viewing within the portal with open tracking and offers built-in manual approval checkpoints and rejection workflows for document verification.

Compliance records are retained for seven years by default for audit purposes. Documents flagged as sensitive can be configured for secure deletion once a human verification step is completed in line with Australian privacy principles. At the conclusion of a workflow contractors and administrators receive a permanent onboarding receipt as a record of completed steps. The portal requires no login or password and does not mandate any software installation.

Link content features enable integration with external applications by embedding tracked links to training materials, surveys or third party systems within onboarding workflows. The platform architecture aligns with regional privacy laws and data retention policies, providing configurable retention schedules and secure deletion protocols. Auditable logs capture all compliance actions to support regulatory requirements while centralising contractor documentation and verification processes within a single system.
