Filently is an AI powered document management and organization platform designed to operate within Google Drive. The platform reads existing Drive content and learns established naming conventions and folder hierarchies to automatically process new documents without manual configuration. It transforms unstructured files into consistently named documents that follow learned organizational patterns. This approach addresses the complexity of large document collections by applying algorithm driven automation to routine filing tasks.
The automated workflow begins when new files arrive via direct upload, designated inbox folder monitoring or email forwarding. The AI engine applies optical character recognition to read document type, dates, vendor details and relevant metadata across more than twenty languages. Filently then renames each document to match learned or existing conventions and places the file in the appropriate Drive folder. The platform supports three processing modes including an automatic convention first mode, a manual confirmation mode requiring explicit approval and a confidence based mode that prompts for input when certainty falls below a defined threshold. A comprehensive activity timeline provides visibility into all processed documents and allows correction of filenames or folder assignments through a feedback mechanism that refines the model over time.
The platform handles a broad range of file formats including portable document formats, Microsoft Office documents and associated templates, rich text files, native Google Workspace files, open document formats and common image types. Other file types such as compressed archives, video and audio can be ingested and organized by filename when content analysis is not feasible. Filently integrates directly with Google Drive and supports shared drives and shared with me folders to ensure operation within existing cloud environments.
Filently executes processing in near real time through an optimized pipeline while maintaining compliance with European data protection regulations. All processing occurs within EU infrastructure and the system does not rely on external large language model services. The platform holds Tier Two certification through Google App Defense Alliance based on rigorous independent security testing. Files are held in encrypted memory only during processing and permanently removed following successful upload to Drive. The architecture ensures that organized documents and folder structures remain accessible in Drive even if the service is discontinued. Roadmap items include native mobile applications, collaborative workspaces with multi user controls, bulk reorganization tools and support for additional cloud storage platforms.
