Flatmine is a free, web-based management platform for apartment buildings, residential sites, co-operatives, HOAs and shopping centres. One record set feeds every module, so units, people, money and documents never drift apart.

Core functions

Dues are issued from reusable templates as recurring periods and allocated equally, by square metre, by ownership share, by sub-meter reading or by resident count. Collections post against charges with running statements per unit, owner and tenant; late-fee rules apply automatically. Accounting is reversal-based: nothing is hard-deleted, corrections are posted as opposite entries, so balances stay reconciled and the audit trail stays intact. Budgets track plan vs. actual; 30+ reports filter by column and export to PDF or Excel.

Data in and out

- Bank statements: camt.052/053/054, MT940 and CSV import with learned IBAN-to-unit matching and operator approval

- Accountant export: derives your accountant's file template from a sample (delimiters, headers, field types, fixed widths) and can build a standard XML skeleton

- Calendar: meetings, maintenance and reminders export to Google, Outlook and Apple calendars

- Documents: a multilingual library of ready meeting invitations, minutes and formal notices as PDF

Payments and paid channels

Residents pay through the community's own payment provider on the provider's hosted page - provider definitions include Stripe, Mollie, Adyen, iyzico, PayTR and Mercado Pago - or by bank transfer with payment references and EPC/Pix QR codes. Payment confirmations arrive as signature-verified notifications before they touch the ledger. Card data never enters Flatmine, and money never passes through it. Every paid channel (payment, SMS, WhatsApp, own SMTP e-mail, e-signature) is closed by default and opens only with a numbered, signed board resolution recorded in the system.

Communication

Announcements on one board; consent-based resident messaging over SMS, WhatsApp or the building's own SMTP server, each message signed and logged; formal notices stored with the provider's delivery receipt.

Security and privacy

Authorization is enforced server-side on every endpoint by role; public endpoints are bot-protected and rate-limited. Debt is shown in aggregate so no resident is exposed. Automatic backups discover new modules by themselves. Runs on Google Cloud in European regions; GDPR/KVKK-aligned data minimisation throughout.

Localisation

10 languages including RTL Arabic; dates, numbers and currencies follow the interface language; per-country governance profiles set quorum and voting defaults. Every tool is free - up to 60 units with one manager account, and application-based plans beyond that.
