Maintivo is a cloud-based inspection and reporting app built for UK sole traders and small trade teams of one to ten people operating in gas, heating, HVAC, air conditioning, HIU and heat networks, plumbing, mechanical and electrical contracting, fan coil and MVHR, and facilities management. Available as a native iPhone app with full offline support and as a web app for Android phones, tablets, and desktop browsers, Maintivo captures site data once and converts it directly into a branded PDF report sent to the customer before the engineer leaves the job.

The platform ships with eight ready-made forms covering Boiler Gas Safety Records (CP12), Split AC/VRF F-Gas leak checks, chiller service and F-Gas, HVAC/air con service, Air Handling Units, Fan Coil Units, MVHR, and general Work Inspections. A five-step custom form builder extends coverage to non-standard job types. F-Gas compliance calculations are handled automatically: the system applies refrigerant GWP values, converts charge weight to tonnes CO2e, assigns the correct leak-check frequency band, sets the next-due date, and issues reminders at 90 days, 30 days, and overdue. Gas Safe and F-Gas registration numbers are configured once and printed on every relevant record. Adaptive form logic hides inapplicable sections and blocks contradictory sign-off. On-device dictation uses Apple speech recognition with no audio streamed externally; an optional AI wording assistance feature rewrites dictated notes into readable prose, with all numeric readings replaced by placeholders before any text leaves the device.

Engineer seats carry a restricted view limited to assigned jobs, with no access to prices, invoices, or margins and no permission configuration required. An optional invoicing add-on converts signed reports into branded invoices and surfaces unbilled jobs in a ready-to-invoice list. Every signed record, photo, and PDF is stored in UK-GDPR compliant cloud storage and is fully searchable from the admin dashboard. Maintivo excludes scheduling, CRM, and accounting modules by design, keeping setup time low. Onboarding is self-serve with no training day, no onboarding fee, and no minimum contract.
