Memorion overview

What is Memorion?

Memorion is a cloud-based case management platform built specifically for funeral homes in Germany. It replaces the usual patchwork of paper files, Word templates, spreadsheets and disconnected accounting tools with a single web application that covers the whole arrangement: intake, authority paperwork, scheduling, print products, invoicing, and the memorial page the family shares with mourners.

Functional scope

The case file is the centre of the system. Deceased data, civil-status records, next of kin, burial type and place are captured once in a tiered intake flow and then reused automatically in authority letters, deregistrations, cost estimates, invoices and print products. Around it sit the modules a funeral home actually runs on: contacts (families, cemeteries, crematoria, registry offices, clergy), appointment calendar with availability bar, tasks with time tracking, on-call scheduling with monthly compensation export, absence management with approval, supplier and article catalogues with stock movements, pre-need contracts, and a document archive per case.

Print and memorial work is handled in the browser. The stationery editor produces memorial cards, obituaries, order-of-service booklets and thank-you notes with self-hosted typefaces, motif and shape libraries, photo cropping, black-and-white conversion and AI-based photo upscaling, plus reusable templates per funeral home. Public memorial pages with photo upload, condolence entries and an optional donation appeal are generated per case.

Billing and accounting

Invoices meet German section 14 of the German VAT Act (UStG) requirements and are issued as PDF, as XRechnung (UBL 2.1) or as ZUGFeRD/Factur-X (CII XML embedded in the PDF with attachment and metadata entries), both aligned to EN 16931. Invoice numbers are assigned by the database with an advisory lock, are gap-free per tenant and immutable after creation, which is what the German GoBD rules on digital bookkeeping expect. Partial and advance invoices, dunning levels with fees and statutory default interest, cost estimates and a DATEV EXTF export round out the accounting side.

Technical specifications

React and TypeScript single-page frontend, PostgreSQL backend, serverless Deno edge functions. Nothing to install: it runs in any current browser on desktop, tablet and phone. Multi-tenant by design, with row-level security enforced on every table rather than in application code. Calendar files export as timezone-correct ICS; documents can be saved, printed or e-mailed directly from every module.

Integrations

DATEV (EXTF export), Microsoft 365 and Outlook calendar via Microsoft Graph delta sync (two-way), IMAP and SMTP mailboxes for case-linked e-mail, hybrid mail dispatch through LetterXpress for letters that print, frank and post themselves, and a public booking interface for appointment requests from your own website. An import assistant migrates cases and contacts from a previous system.

Security and data protection

Funeral homes process some of the most sensitive personal data there is, so the security model is enforced in the database, not in the interface. Time-based one-time password authentication is applied through restrictive policies on every table carrying data, so no record is readable before the second factor is verified. Third-party credentials are encrypted with AES-256-GCM. Read access to case records is logged for audit purposes, and an opt-in retention job anonymises closed cases after a configurable period while leaving invoices untouched for the statutory retention period. Leaked-password checking, tenant isolation, documentation of technical and organisational measures and a record of processing activities are part of the product, not an add-on.
