Pros

If you are a Microsoft fan or heavy user, then Share Point it is a good software for integration and share data and information between your people and clients.
I love how you can integrate Microsoft office. The large file support is great along with the ability to keep everything on your phone.
This software is great for the world of remote working and is a great solution to collaborating online. The program is user friendly and requires minimal training to understand.

Pros

This tool is an excellent knowledge base. This is the primary use for it that we have, and it does it perfectly.
It is a great great tool for creating documents like PRDs and Information Documents of Projects and then sharing with team members to view and collaborate.
Confluence is reliable and offers a good set of functionalities and features, the capacity to organize and edit documentation online is great.

Cons

Occassionally I will have errors when creating Sharepoint pages– such as the inability to change the column count, insert pictures, etc.
I would describe my overall expense as very poor and frustrating.
If there are too many documents that are not organized it can be hard to find what you need. I think that's mostly user error.

Cons

Sometimes I have difficulties with formatting some of the tables as it is frustrating when it does not follow what you want it to do and it takes a while to correct the mistake.
Searching was severely handicapped, and no linking of documents was really feasible. There was also poor management of permissions.
Performance over the last 6 months has degraded and it's now really slow. The over-arching user management is really confused.

Not the most intuitive software. And some incompatibility issue with other MS products. We miss Confluence already.

Pros

Cloud storage. Support video streaming. Users can access anywhere without the need of VPN.

Cons

Setting up new page is not straight forward, especially those need linking to navigation menu. It is not even compatible to other MS product, e.g. copying table from Excel or Access will lost the format and alignment.

Awful really. I hated having to use it and would prefer something like google drive or confluence.

Pros

All of your Microsoft documents/files are available in one place Categorisation of the documents is quite thorough

Cons

It is very complicated to use. Once you know how it is okay, but getting to know how takes a long time. There are a lot of issues with the software Configuration is very complex. Sharing is a real pain Inheritance of permissions are hierarchical and it is not possible to override Collaborative editing is buggy.

Overall experience is good, I do think it need a lot more work to compete with other products such as Confluence.

Pros

SharePoint integrates very well with Windows and other Microsoft products such as Teams. It allows for the sharing of documents with ease.

Cons

The down side is the product can be slow and fiddly to use. General users can find it hard to navigate and get along with day to day.

Pros

The SalesForce is well integrated with other Office tools and it is the most easy to use through these other products like Teams for file sharing, content and documents sharing etc.

Cons

The SalesForce UI is not the most user friendly. I find Jira together with Confluence much better suited for content sharing and knowledge management.

Powerful software that is more difficult than it should be.

I am grateful I do not have to manage this software. It gets the job done, but not in an elegant, or intuitave to use way at all. If I can avoid using it's features, I usually use another product, or just email.

Pros

It integrates with our Microsoft products natively, allow us to open spreedsheets in Excel, and then save them back to SharePoint without any effort. Can do many things if you have the know-how.

Cons

Not intuitive at all. Clunky interface with hard to navigate user and access control. This product seems way behind its times compared to a software such as Atlassian Confluence.

The simplicity to create a PMIS for the entire PMO with quick launch window, integrate other Office suite products, etc. are a great sign of relief from Confluence like Wiki pages.

Cons

Being able to make it more user friendly so that access privs can be managed for the same portal with a different and limited view for external vs internal users would be great.

SharePoint was our go-to spot for hosting our resource library and for sharing updates and progressions on projects with other teams.

Pros

We used Sharepoint as a secure place to store our team information and keep project logs so everyone involved could stay up-to-date with progressions within the project. My favourite feature is being able to host a document library so you can add all of your job aids into one easily-accessible place.

Cons

Maybe I'm an outlier but I found SharePoint to be not very intuitive to use. I had to watch several tutorials until I got the hang of it. I find Confluence much more straight-forward.

Overall, this is a go-to product if you are already a "Microsoft Shop". This is a better product with a more familiar interface. It is also easier to make professional documents for public showing with its rich customization features

Pros

- People from different locations can work together on live documents. - Conveniently integrated other MS products and with familiar MS interface - more powerful than Confluence (we have both) - Advanced search is powerful - A go-to document management tool for small to big businesses

Cons

- Cost. For big enterprise, cost is not an issue as this is included in o365 subscription cost. For for small to medium size business, Sharepoint Online cost can be a bit expensive. Small business might be better to use Confluence for Value for Money - user interface, if you are not on the latest Sharepoint, interface can be an issue as it was a bit dated (upgrade to the newest version to get the modern look)

Overall, it was good to make a switch to SharePoint which is what the majority of medium to large businesses use based on my current knowledge. With help internally and externally, we are getting more familiar with the product so the cost to benefit ratio is slowly but gradually decreasing. However, there is consensus that it is not the easiest tool to use and sometimes hampers team collaboration.

Pros

Microsoft allows much functionality OOTB with SharePoint, leveraging many of the industry's popular document management and sharing capabilities. It's easy to have team documents, global documents, and edit, share, and collaborate effectively.

Cons

However, compared to other tools such as Confluence, it is less visually aesthetic and is not very intuitive. You absolutely need helpful video content or employees already familiar with the tool to effectively use it. The learning curve is one of the more steep ones across the industry tools for document sharing and collaboration.

Build Your Intranet Using Microsoft SharePoint

Overall, I'd pick SharePoint every day as the right tool to build our intranet. Everyone is able to connect and use the site from day one. Our security team only has to work in one place with active directory. We also got the benefit this time of integration with Confluence which has been in place within the company for years which saved tons of money and restructuring time.

Pros

The communication site is fantastic. It is easy to setup and has a wonderful new format in the 2019 version. The site is simpler to create and we used it to build our intranet site. The style of the new version is much more modern and sleek. The new sites are also faster and have more webparts to choose from when putting together pages. The modern pages are also mobile ready and responsive so they look great on mobile devices.

Cons

It would have been nice if we could have just upgraded our site but I understand the limitations of going from a slower classic page to a new modern mobile responsive page can't be easily accomplished with just a code change.

I learned to not waste my time trying to figure out how to use SharePoint. You are better off spending your time doing actual work.

Pros

The entire suite of Microsoft tools are pretty well integrated with one another. They have "web parts" that make building the sites slightly easier and "prettier".

Cons

It's nice having the entire Microsoft suite integrated together, but trying to piece it all together with SharePoint is the most confusing and complicated thing I have ever encountered. Large companies that use SharePoint typically have teams dedicated to administering SharePoint sites. For a "regular" person to try and figure it out in addition to their "normal" work, they'll find themselves so...

Sadly we will soon phase it out, due to very good licensing deal on SharePoint by Microsoft. Confluence will be missed.

Pros

Easy to use for new users, search filter very handy to narrow the results. Embedded media align well and looks professional on the page, embedded graphic can easily zoom in and enlarge. (neither of these can be said for SharePoint)

Cons

Don't have anything to complain really. except pricing.

We love confluence, we are using it as Intranet and wiki page for internal users. Inside and outside teams. This is the perfect replacement of Microsoft Sharepoint.

Pros

Confluence is used as our Intranet. Not only we are able to customize team-based site but as well as global communications and document share throughout the company. We like the tool, the power and the easiness.

Cons

It took us time to understand the new way of sharing document. We are coming from the old file server world and we did not shifted easily to the "inline" data sharing. You have to get used to it. When done, this is working perfectly

Overall an OK piece of software for light collaboration and project management, storage of documents work a bit like Microsoft's Sharepoint (but better in comparison as Sharepoint sucks).

Pros

It's a good piece of software for collaboration on projects in a bigger team. It has reasonable functionality and quite useful for monitoring projects.

Cons

I find the user interface a bit clunky and the speed a little slow when using it. I'm not a regular user at all so maybe that has something to do with it.

Single tool solution for project documents

All are considered as page in confluence and we need not upload documents. Documents need not be created and uploaded rather the content can be created on the page itself. Project related information can be stored as pages within Spaces in Confluence. Unless Sharepoint where we need to upload documents either a word document or Excel file which causes issue in opening up with different versions of Office as well with different OS like Mac, windows etc. In confluence it is all pages and are not documents.

Pros

The UI is very User friendly. We usually use the features that we have on Microsoft word or Excel and then upload the document on tools like Sharepoint. With Confluence, anything that can be done using Microsoft Word or Excel can be achieved using the Confluence for project related documents. Creation of tables, uploading images, including Objects etc are all can be done on Confluence page directly.

Cons

I do not see the Work flow approvals that can be created for project documents. As project documents can be audited for signoffs/approvals etc I do not see option to create a work flow approval for any of the pages we create. Sharepoint has the workflow approvals to get the signoffs from stakeholders. This is missing in Confluence.

This beats SharePoint by miles. It also has some nice functionality that I don't even think the new TEAMS software in Microsoft will beat (the consolidated meeting action items, ability to create Jira tickets from highlighted text come to mind). Definitely a winner after using Google docs, Dropbox, SharePoint. It is a nice adjunct to Smartsheet for those who use that for their project plans. We just keep a link to Smartsheet on the home page of each project.

Pros

Our team took to this product instantly. Users were creating spaces and meeting notes without any prodding from management. They have quickly mastered setting up spaces for our projects, adding links, pages, roadmaps, requirements, and more. The product is easy enough to set up and to use that the adoption rate is excellent. There are many add-on gadgets to expand the capabilities.

Cons

Amazingly, so far we haven't really found much to complain about. The table functionality is weak, but they have improved it with the last release and there are add-on apps that seem to fill in some of the gaps. Links to excel and google drive work just fine instead of using the tables in Confluence. Formulas in the tables would be highly desirable or the ability to do iframes on the cloud version.

Pros

The Hierarchical way of data Management to share information and knowledge effectively. Updating calendars and assigning projects to specific users is a major advantage. We can link the content in the confluence to Jira/ALM tickets which will reduce so much of time. Budgetwise it is cheaper to use confluence than the other collaboration tools for startups and Freelancers.

Cons

Naming conventions wise,there cannot be two files with the same name under a parent which is supposed to be a limitation but rarely used in this scenario. Confluence does not have the advanced customization options that sharepoint does. There wont be much integration with the other Microsoft products .

I'd definitely recommend Confluence over other tools where I have to spend less time formatting my document/blog/article and more time writing actual content

Pros

- Very easy to use features that just feel natural to create/edit/share documents - Customizable macros that allow us to implement far more than what is provided out-of-the-box

Cons

- A few features seem a little confusing, especially when coming from other collaboration tools like SharePoint

Ok experience, it does the job fine no more no less. I use it because that's what our company uses, I wouldn't mind an alternative with a little more flair.

Pros

A simpler alternative to SharePoint it what comes to mind, less bloated, more straight to the point.

Cons

Very dry, a bit clunky to use, not very appealing. Notifications seems overly complicated to figure out and configure.

I do not find myself going back to our knowledge base very often because I am typically part of the initial user training on new products and I take my own notes, But that is the beauty of the product. Even after long gaps in using the software I am able to go back into it and be productive and that is what I want in a knowledge base tool.

Pros

Its ease of use and low barriers of entry

Cons

Confluence is just a little different in how it accomplish a task, when compared to SharePoint, which means that a user well versed in SharePoint may struggle a little more than a newbie, just because they need to unlearn a few processes, which often makes those long term SharePoint users a little disenchanted by the product, but once they get over the learning curve, user acceptance on the product is very high.

Flexible and Relatively Simple Solution

Very positive. I've used several different tools, like Sharepoint and bespoke internal tools - and Confluence is definitely the best.

Pros

Compared to other tools, like Sharepoint, Confluence is easier to pick up and start working with right away. Confluence can take you pretty far, but for users starting at a blank slate it only takes a couple of hours to be up and running. Content creation options are easy to navigate, and the integrations are pretty seamless. If you do run into problems, the documentation is very straightforward and comprehensive.

Cons

Setting up personal shortcuts for repetitive tasks isn't very easy. Depending on your configuration, you can spend a lot of time repeating the same actions over and over as you iterate through multiple pages or features.

Search capabilities are decent. Even though filtering is limited the results returned were numerous.

Cons

Data and document organization has a lot of shortcomings compared to SharePoint. There's very limited version control, for example.

A lot of flexibility to readily host files and content. It syncs with JIRA well to keep teams well integrated across workstreams.

We are able to get away from Sharepoint and move to this platform for a much better user experience.

Pros

We really liked the ability to create impactful documentation that is easy to digest and complete in nature. We also really like the ability to tie into JIRA and the issues that are there.

Cons

The learning curve is a little steep but not as bad as JIRA. It can be a little challenging to nail down the navigation and such in the beginning.

Confluence is a versatile collaboration platform that caters to the diverse needs of teams. It can be used for knowledge sharing, documentation and project management, and supports all purposes with a massive library of templates. You can also set up and edit your own templates. A relatively new feature is whiteboards, which can be used for brainstorming sessions. There is a strong synergy with Jira, you can, for example, set up tables pulling data from various Jira projects for reporting purposes. The permissions are very straightforward to set up, even for less experienced users.

Cons

It's not ideal for file sharing/storage, so it could still be worth it to use something like SharePoint as well.
