KCM minimizes the time it takes to get critical business information into your system. Capture solutions can be used in any part of an organization that processes many documents and different types of data. For many businesses, this is most important in the finance or accounting department as invoices, order forms, and receipts come in many shapes and sizes. They all contain crucial information, but there is rarely consistency in how they are formatted or structured.

A finance department could develop a template for each supplier by using a capture system to process documents such as a batch of invoices automatically. This template would identify where the essential information will be located on the invoice, what needs to happen to each piece of this data, and the document itself once it enters the system. Using optical character recognition (OCR), the software can read the data from a scanned document and process it accordingly.
