E-invoicing and Peppol overview
What is E-invoicing and Peppol?
ecosio’s E-invoicing as a Service solution provides businesses with an easy way to meet requirements for electronic invoices, both incoming and outgoing. The Integration Hub, provided by ecosio, serves as the crucial connection between a business's ERP system and their business partners, enabling the exchange of electronic invoices in all formats and through any protocols.
For outgoing invoices, they are generated within the business's ERP system and then transmitted to ecosio's Integration Hub in a structured export format of their choice, such as XML or EDIFACT. Once the exported file is received, ecosio's Integration Hub automatically converts it to the desired target format based on the sender, receiver, and document type information. It is then delivered accordingly, with the delivery process customized to the requirements of the invoice receiver. This includes options such as structured formats for successful EDI integration (EDIFACT, XML, CSV, etc.), PDF attachments sent via email with delivery confirmation, direct delivery through third-party networks like Peppol, and the application of electronic signatures if required by law.
Direct delivery via third-party networks, such as Peppol and FatturaPA, for e-invoices sent to public authorities follows special delivery protocols. ecosio's E-invoicing as a Service solution simplifies this process, making it straightforward to deliver invoices to any recipient via any desired protocol, without the need for separate contracts or special technical connections. ecosio supports commonly used protocols like X.400, AS2, OFTP2, SFTP, Peppol, Web Services, etc. The delivery status of invoices can be directly displayed in a business's ERP system through the use of ecosio's API.
For incoming invoices, ecosio's Integration Hub receives invoices from various senders and converts them to the central import format of the business's ERP system. Any invoice format can be received, including EDIFACT, XML, ANSI X12, CSV, etc. ecosio supports different processes based on the prerequisites of the invoice sender. This includes receiving structured formats such as EDIFACT, XML, CSV, etc., through commonly used protocols like X.400, OFTP2, AS2, SFTP, Peppol, Web Services, etc. The delivery status tracking information is stored in ecosio's Integration Hub, providing a detailed status report for each invoice. Additionally, this information can be displayed in the ERP system through ecosio's deep integration.
Suppliers who do not support fully automated invoicing processes can submit electronic invoices using ecosio Web EDI, which offers a web interface for recording invoices. The data entered into the web form is validated and converted to the desired ERP import format by ecosio. Web EDI also provides semi-automatic creation of response documents to improve efficiency and eliminate human error.
ecosio can also handle invoices received via third-party networks like Peppol or FatturaPA. Invoices from any sender can be received in any structured format.
The connection between ecosio's Integration Hub and customers' ERP systems allows users to view delivery statuses in real time, providing end-to-end visibility.
ecosio's solution also offers easy access to original sent invoices, converted intermediate states, and the final converted invoice file through the archive API. These files can be incorporated into a business's local archive, such as ArchiveLink for SAP.
