The platform operates through a defined workflow that initiates once the initial schedule is created. Administrators can load shifts using comma separated values imports or by adding them manually, working from schedules maintained in spreadsheets or other scheduling tools. Upon shift import, CleanConfirm enables managers to send confirmation requests to team members, who access a streamlined mobile interface offering options for confirming availability or indicating unavailability. The system maintains visibility across four primary shift statuses, including unconfirmed shifts requiring follow-up, confirmed assignments ready to proceed, shifts pending cover that need replacement staff and closed shifts reflecting final outcomes.
When a team member indicates unavailability for an assigned shift, the software moves the shift to a pending cover status where it remains visible to managers until a replacement is approved. The dashboard provides real-time insight into confirmed shifts, those that require follow-up and coverage risks. Automated email notifications support reminders, delivery logs and manual resend controls to ensure assignments are acknowledged. The system also tracks final shift outcomes, including completed, cancelled and no-show statuses, preserving a record of how each shift concluded.
CleanConfirm does not include native third-party integrations beyond support for comma separated values import from external scheduling systems or spreadsheets. The platform provides blank and sample import templates to streamline data transfer. Users access the system via a web interface secured by Google sign-in authentication for workspace creation and user management. Email notification delivery is managed by the internal system and subject to configurable quotas defined within system settings. The platform does not reference an application programming interface for custom integrations or programmatic data access.
