What is PracticeRunner?
PracticeRunner is practice management and EHR software designed around persistent cases, not only individual client charts. It supports individuals, couples, families, ongoing therapy groups, individual consultation, consultation groups, and workshop groups. A family or group remains intact across its participant roster, appointments, attendance, documentation, portal access, secure communication, billing responsibility, invoices, payments, receipts, and follow-up.
For relational care, clinicians can maintain shared case context while keeping participant identities, contact details, portal access, documentation, and payment arrangements appropriately distinct. Therapy groups retain their roster between sessions and track attendance for each participant. Clinicians can create participant-specific invoices and eligible superbills. PracticeRunner prepares CMS-1500 PDFs for an individual client's eligible services and supports manual payer-response reconciliation; it does not submit claims electronically.
The Session Workspace brings preparation, case context, source material, Session Briefs, tasks, and clinician-reviewed note drafting together. AI use remains under clinician control, client information is not used to train shared models or improve AI for other practices, and the clinician reviews drafts before they enter the record.
Practice operations include appointment requests, recurring scheduling, reminders, Google Calendar sync, private calendar feeds, forms, secure portal communication, Stripe card payments, lower-cost bank transfers, billing contacts, flexible payment arrangements, data imports, complete exports, and read-only Archive access for paid practices during an extended pause. Clinicians can use Zoom, Google Meet, Microsoft Teams, or another appropriate video link rather than being required to purchase proprietary video.
Group practices can assign associate, supervisor, administrator, and delegated-access roles. Structured note-review queues make supervision status visible while administrators can handle operational work without receiving unnecessary clinical access. Staff can use passkeys, physical security keys, one-time email links, and enabled Google or Microsoft sign-in, with practice-level controls for stronger authentication.
