RotaBot is UK staff rota software that automatically generates weekly schedules around the real requirements of a business.

Managers define the staffing demand for each day by role or area, including the start time, end time and number of people required. RotaBot then builds the week around those requirements together with employee contracts, availability, approved leave, roles, training, fixed shifts and other scheduling rules.

Hard operational constraints remain binding throughout the solve. Staff are not assigned to roles they do not hold, approved leave remains blocked, and other mandatory scheduling rules cannot simply be traded away to improve the rota.

RotaBot also includes an adaptive learning layer. Confirmed manager preferences from previous rota edits can influence future scheduling decisions while remaining subordinate to the hard rules of the business.

The manager stays in control throughout. Once RotaBot generates the week, the rota can be reviewed, edited and adjusted before publishing. Shifts that must remain fixed can be pinned so they are preserved during subsequent solves.

RotaBot was developed from the experience of managing a real hospitality venue and has been used to generate live staff rotas in day-to-day operations.

The scheduling engine is built using mathematical optimisation with Google OR-Tools CP-SAT, supported by a Python backend and a web-based management platform.
