SeatPlanning overview
What is SeatPlanning?
SeatPlanning is a browser-based seating chart and guest management platform for events of any size. It runs entirely in the browser, there is nothing to install, and changes are saved automatically as you work.
Canvas and layout
The editor is a pan-and-zoom canvas built for real venue plans. Place round and rectangular tables, individual seats, seat containers for benches and rows, rectangular areas, walls, free text, icons and uploaded images. Elements can be moved, resized and rotated, duplicated with copy and paste, and reverted with undo and redo. Keyboard shortcuts cover the common operations. Event-specific templates give you a starting layout for weddings, conferences, corporate dinners and classrooms, and a table capacity calculator helps you work out how many tables a headcount needs before you start.
Guest and seat management
Guest lists can be imported from Excel with a column-mapping step, so your existing spreadsheet does not have to be retyped. Guests can be grouped, tagged with dietary requirements, and extended with custom fields of your own. A dedicated list view with search and filtering sits alongside the canvas, and an automatic distribution algorithm seats everyone across the available tables in one click, honouring constraints such as maximum seats per table and per table side.
Responses and check-in
Every chart can publish a guest-facing response page, shared as a link or a scannable code. Guests search for their own name, confirm or decline, add a plus-one and answer any custom questions you have configured. Response pages can be branded and styled from a set of templates. Invitation, confirmation and reminder emails go out in your own wording, and response analytics show how the list is progressing. On the day, guests are scanned in at the door using the code from their invitation.
Collaboration
Collaborators can be invited by email with either edit or view-only access, so a client or venue coordinator can follow the plan without being able to move a table. Edits are synced back to the shared chart automatically.
Exports
Seating plans export as print-ready documents in a choice of templates and page sizes for the venue, and guest lists export as spreadsheets for the caterer or front-of-house team.
Platform, integrations and security
SeatPlanning runs on current desktop and tablet browsers, with a simplified view for phones. Sign in with an email address and password or with a Google account. Excel is supported for both guest import and guest export, and seating plans export to print-ready documents. Billing runs through Stripe, so card details are never held by SeatPlanning. Data is stored in a hosted Postgres database with row-level security enforced per account, and guest-facing pages expose only the fields a guest needs to see. SeatPlanning acts as your data processor under Article 28 of the General Data Protection Regulation and publishes a data processing agreement, a privacy policy, a cookie policy and a separate guest privacy notice. The interface is available in English, German, French, Spanish and Romanian.
