ShiftScan combines workforce time tracking with tamper-proof documentation of the work itself, for companies whose staff operate at customer sites.

Clocking in and out

Four methods, all included: NFC tag at the site, QR code, PIN entry, or a fixed hardware terminal. No app installation is required on employee devices. Clocking works offline and syncs automatically. GPS location checks are configurable per method, and break deduction follows statutory rules automatically.

Proof of service

Patrols, cleanings, gritting runs and job checklists are recorded with photos, GPS position and a cryptographic hash chain, so entries cannot be altered after the fact. Corrections are stored as follow-up entries rather than overwrites. Winter service records include official German weather service data. Clients receive a read-only portal and signed PDF records.

Workforce administration

Shift and duty scheduling with minimum-staffing checks, leave and absence management, time accounts and flexitime, working-time compliance checks including rest periods and maximum hours, digital staff records and qualifications with expiry reminders, and notifications by push, email and SMS.

Operations

Tickets and defects, asset and key management, vehicle fleet and mileage logs, expenses and receipts with OCR capture, project management and project billing.

Finance and payroll

Client invoicing with ZUGFeRD and XRechnung e-invoicing, payroll export to DATEV, Lexware and STotax, accounting connections to lexoffice, sevDesk and DATEV, and a read-only login for your tax advisor.

Security and data protection

Hosted in Germany: application servers in Berlin and Karlsruhe, database and file storage in the Frankfurt region. Encryption in transit and at rest, tenant isolation enforced at database level, role-based permissions, audit logs, deletion protection with an audit-backed recycle bin, backups with point-in-time recovery. GDPR compliant with a data processing agreement, a published subprocessor list and EU standard contractual clauses where third countries are involved. NFC checkpoints can use NTAG424 DNA tags with cryptographic authentication, so a tag cannot be cloned. Business plans support SAML and OIDC single sign-on. Optional AI features run on European infrastructure with no transfer to the United States.
