Automated email reminders are sent ninety, thirty, and seven days before notice and expiry dates to ensure visibility of upcoming deadlines. Financial tracking capabilities include annual contract value monitoring, total spend overview, and payment forecasting. Risk and compliance scoring uses traffic light indicators to flag missing GDPR clauses, liability caps, or insurance requirements. The supplier management module consolidates contact details, documents, and linked contracts into a searchable database. Contract templates with smart variables streamline the creation of repeatable agreements. A supplier portal offers secure, read only access for vendors to view contract status, key dates, and download documents without authentication. E signature tracking records execution details, timestamps, and signatory information alongside original contracts.

An optional SMS and WhatsApp alerts add on delivers renewal and tender notifications directly to mobile devices based on user opt in preferences. Reporting tools include ten pre built reports across categories such as portfolio overview, dates and deadlines, financial analysis, and risk compliance. The AI contract review feature provides instant evaluation of contract clauses, missing protections, and risk exposure with plain language summaries. The procurement workflow module manages the full RFP lifecycle, from request submission through multi level approvals, document uploads, Q and A logging, proposal scoring, best and final offer rounds, award decisions, and contract execution with immutable audit trails. A ticketing system links tasks to contracts and suppliers, automatically generates renewal tasks, assigns priorities, and maintains comment threads for documentation.

Integration options include connections to Xero and QuickBooks Online for supplier synchronization, automatic bill matching, invoiced versus contract value tracking, and category mapping. Multi entity management supports up to ten legal entities under a single subscription with instant switching and separate contract libraries. A spend forecasting feature generates twelve month rolling cash flow projections based on live contract data, highlighting monthly spend by supplier and category for budget planning. Security infrastructure comprises EU data residency, AES two hundred and fifty six bit encryption at rest, TLS one point three encryption in transit, two factor authentication, automatic session timeouts, row level database security, and secure cookie based session management. GDPR compliance is maintained through data residency and access controls.
