Jackrabbit Music vs My Music Staff: Which Is Better?

What we'll cover

Choosing between Jackrabbit Music and My Music Staff comes down to how your studio teaches and grows. Both are music school software, but they charge for different things and start from different kinds of teaching. Jackrabbit Music prices by student count and is built around classes, registration and appointments. My Music Staff prices by teachers and staff and is built around the lesson calendar.

Four questions usually settle it: how much of your teaching is private lessons versus group classes, how each tool tracks make-ups, how it collects tuition, and how your cost changes as you add students or teachers. A solo teacher with 40 students and a school with ten teachers can reasonably land on opposite answers.

I compared the two music school software tools across six areas: scheduling, make-ups, tuition billing, lesson notes and parent communication, setup and support, and price. I used each vendor’s pricing page and help articles, GetApp’s Jackrabbit Music and My Music Staff listings, and published reviews from January 2024 to October 2026. Each round ends with the studio it suits best, so you can narrow to one tool and confirm the choice in a free trial.

Here is how the decision breaks down by what matters most to a studio.

  • Lesson mix. My Music Staff is organized around the lesson calendar, with groups and workshops on the same calendar. Jackrabbit Music is organized around class enrollment and runs one-on-one lessons through its Appointments feature. Both support private and group lessons and family booking.

  • Make-ups. My Music Staff can issue time-based make-up credits for eligible missed lessons. Jackrabbit Music lets staff or parents book a make-up against an absence marked eligible, with an expiry you can set as a time limit, the end of the session, or none.

  • Billing. Both support recurring billing and online payment collection. My Music Staff offers automatic invoice reminders and late fees, and Jackrabbit Music offers automated tuition posting, scheduled payments and family statements. Payment-processing charges are separate from the subscription in both.

  • Cost (USD, monthly). My Music Staff starts at $16.95 with one teacher and adds $4.95 per additional teacher or staff member. Jackrabbit Music starts at $49 for up to 100 students and rises to $89 from 101. Jackrabbit Plus, which bundles a branded parent app, starts at $93, and Enterprise is a flat $245.

  • Setup and support. Both advertise a 90-day refund, on different conditions. Jackrabbit Music assigns a Product Coach during setup, and My Music Staff offers migration help and phone and email support.

  • Bottom line. For an owner-teacher or a team of two to five teachers whose calendar is mostly weekly lessons, My Music Staff has the lower subscription price and a calendar-based billing model. Jackrabbit Music’s higher price pays for class enrollment, parent-booked appointments and a branded-app option, which matter more if group classes carry your revenue.

Jackrabbit Music vs My Music Staff: What’s different and what’s not

Most of what a studio does day to day is covered by both tools, so the differences cluster in four places.

Key differences

  • The pricing unit. My Music Staff charges per teacher or staff member and sets no student limit. Jackrabbit Music charges per student band. A studio with many students per teacher pays less with My Music Staff, while a school with many teachers and fewer students narrows the gap.

  • The starting workflow. My Music Staff starts from the lesson calendar. Jackrabbit Music starts from class enrollment and runs one-on-one lessons through Appointments.

  • How make-ups are tracked. My Music Staff keeps time-based credits. Jackrabbit Music ties each make-up to a specific eligible absence.

  • Higher-priced options. Jackrabbit Music offers Jackrabbit Plus, which bundles a branded parent app, and Enterprise, which adds a business intelligence dashboard. My Music Staff offers one plan at every size.

Key similarities

  • Both support recurring billing and online payment collection, and both give families a portal.

  • Both let families book through their portal, and both organize lessons by teacher and room.

  • Both leave payment-processing charges outside the subscription, though the rates and fee-recovery options depend on the provider and agreement.

  • Both offer a free trial but no permanent free plan, and both advertise a 90-day refund on their own conditions.

How I compared them

I compared the two tools across the six areas below using vendor pricing pages and help articles, GetApp listings and ratings, and reviews. For qualitative feedback, I grouped recurring themes in GetApp reviews published from January 2024 to October 2026. The Best fit boxes and decision table are my interpretation of the documentation, so validate them in a trial.

Cost examples cover 40, 100, 150, and 250 students. Prices are in USD per month as of October 23, 2026, and exclude payment processing fees, texting, Plus setup and app store fees, and partner fees.

Jackrabbit Music vs My Music Staff: Compared across six key factors

Each round takes one requirement from a studio’s week, shows how each tool handles it, and ends with the buyer each fits.

1. Scheduling:

Jackrabbit Music starts from classes and appointments; My Music Staff from the lesson calendar.

With more than one teacher, double-booking becomes a risk: one student in two places, or one room holding two lessons. Both tools handle teachers, rooms and family booking, and they differ in the workflow each starts from.

Jackrabbit Music schedules group classes against rooms and instructors, and runs one-on-one lessons through its appointments feature. Parents can book single or recurring appointments in the parent portal. When staff and rooms are associated with an appointment type, the times offered reflect the student’s schedule and staff and room availability, and a recurring booking that hits a conflict shows an alert. Several reviewers describe class management and enrollment tracking as strengths, and a few say private lessons take more effort to manage than classes do.

My Music Staff puts lessons, groups and workshops on one calendar, with event categories per instrument and locations for rooms. Each teacher has an individual login, schedule and availability, and students can book from that availability in the student portal. What each teacher can change depends on the permissions you assign in its multi-teacher settings. The product also supports calendar sync to help manage availability. Many reviewers name the calendar among the product’s strengths.

Best fit

  • Jackrabbit Music fits a school where group classes, ensembles or camps carry most of the revenue and enrollment caps matter, because scheduling starts from the class roster.

  • My Music Staff suits a studio where most lessons are weekly privates across a small team, because each teacher manages their own availability on a shared calendar.

2. Make-ups

My Music Staff keeps time-based credits; Jackrabbit Music ties each make-up to an eligible absence

Make-ups become chaotic when the rules live in text threads. Both tools move the rule into the software, using different mechanics.

In Jackrabbit Music, a make-up can be booked only for an absence that was recorded and marked eligible for make-up. Staff book it from the student or class record, and parents can book it in the parent portal when self-service is enabled. Studios can apply a time limit or session-end expiry, or allow no expiry, and staff can adjust expiry dates individually or in bulk in the make-up settings. A class can be set to block make-ups, and the class make-up size setting can allow extra places beyond the normal class maximum. The make-up help article describes the full flow.

For eligible missed lessons, My Music Staff can issue time-based make-up credits, with eligibility depending on your attendance and cancellation policies. In the vendor’s explanation of partial credits, a full credit is based on the student’s default lesson length, a 60-minute credit can cover two 30-minute make-ups, and partial credits show on the student’s record. A few reviewers list make-up and rescheduling tools among their favorite features.

Whichever tool you use, decide the notice window, make-up eligibility and expiry before you configure it, so the software enforces one written policy.

Best fit

  • Jackrabbit Music is built for class-based programs with enrollment caps and make-up rules, where a make-up is rebooked into a specific session and expiry is a setting you choose.

  • My Music Staff works for private-lesson studios that want a credit balance per student and rebooking subject to the studio’s teacher and booking rules.

3. Tuition billing

Both automate it, and My Music Staff bills from the lesson calendar.

Ending the chase through Venmo and Zelle means getting families onto autopay with invoices that generate themselves. Both tools support recurring billing and online payment collection, and they differ in what an invoice is built from and which reminder automation is documented. Neither product lists a native Zelle integration, and in both a payment made outside the integrated flow can be recorded manually on the family’s account.

Jackrabbit Music supports automated tuition posting and scheduled recurring payments, and sends family statements. Jackrabbit Pay collects US ACH and Canadian PAD bank payments, and other payment options depend on country, account and provider. Payment-processing charges are additional to the subscription and depend on the selected provider and agreement. A few reviewers single out automated billing as a time saver.

My Music Staff calculates lesson charges from scheduled lessons, attendance settings and each student’s billing arrangement, and also supports flat monthly rates, hourly billing and lesson packages, with a different arrangement for each family. It offers automatic invoice reminders, late fees and Auto Pay, and integrates with Stripe and PayPal for payments. ACH is available in the US and Bacs in the UK. Many reviewers praise invoicing and payment tracking, and several describe difficulty setting up invoices, reconciling family balances or verifying bank accounts for Auto Pay.

Best fit

  • Jackrabbit Music serves a school that bills tuition against enrolled classes and wants scheduled payments and family statements, with processing charges set by the payment provider.

  • My Music Staff suits a studio whose charges should follow the lesson calendar and each family’s billing arrangement, with reminders, late fees and Auto Pay built in.

4. Lesson notes and family communication

My Music Staff shares notes from the calendar; Jackrabbit Music adds skill updates and a branded app.

Parents want to know what was covered and what to practice, and teachers do not want to enter it twice. The two tools handle notes differently.

Jackrabbit Music gives families a parent portal and lets staff email selected students, families or classes from filtered searches and reports. Its internal notes feature is not visible in the Parent or Staff Portal, and it also stores class lesson plans. Skill tracking supports parent progress updates with personalized notes. Policy groups can be assigned to classes and appointment types. The Jackrabbit Plus bundle adds a custom-branded mobile app, which Jackrabbit says is typically ready to use within 30 days of upgrading. Several reviewers describe communicating with selected families and keeping family records organized as strengths.

My Music Staff records lesson notes on the calendar with custom templates, keeps private teacher notes separate from notes shared with parents and students, links files and repertoire, and lets you email the notes from the same system. Email and text reminders are included in the subscription. The Student Portal is browser-based. Several reviewers value notes, assignments and parent communication, several say they would like a mobile app, and a few ask for more control over how emails are formatted.

Best fit

Jackrabbit Music gives a school that wants to message specific classes or families a portal, progress updates through skill tracking, and a branded parent app on its Plus bundle.

My Music Staff is the closer match for a teacher who wants to write and email lesson notes from the same system that holds the calendar and billing.

5. Setup and support

Both include help, with different setup models.

Switching succeeds or stalls on setup. A typical setup includes importing families and students, building recurring lesson schedules, setting billing rates, defining make-up rules and connecting a payment processor, and the scope varies with the size of the migration. Neither vendor publishes a support response-time commitment.

Jackrabbit Music includes a Product Coach and free data imports on every plan, lists unlimited support on its core plan, and offers a help center and on-demand training. It documents separate ticket, chat and call hours on its support contact page. Several reviewers praise support, and several describe difficulty finding features in the interface.

My Music Staff includes phone support, Monday to Friday, 9 am to 4:30 pm ET, plus email support, a support center and video tutorials, and offers personalized migration help. Many reviewers praise support. Recurring feedback describes a learning curve, with settings and features taking time to find, and a few say that entering students and building the calendar at the start was tedious.

Best fit

Jackrabbit Music helps a school facing a larger migration, where a named coach and free data imports reduce the setup workload.

My Music Staff serves a teacher or small studio that wants to begin setup during its 30-day trial and can reach phone support during weekday hours.

6. Price

My Music Staff has the lower subscription price in all four examples, and Jackrabbit Music steps up at 101 students.

Jackrabbit Music starts at $49 per month for up to 100 students, and the price rises with the number of students counted at the end of each month. My Music Staff starts at $16.95 per month with one teacher and adds $4.95 per month for each additional teacher or staff member, with no student limit. All figures are US dollars per month on month-to-month terms, taken from the vendors’ pricing pages and checked October 23, 2026. Both vendors show monthly prices and publish no separate annual rate.

The cost table applies each vendor’s billing unit, students for Jackrabbit Music and billable teachers and staff for My Music Staff, to four illustrative studio sizes. The Jackrabbit Plus column shows the bundle price, which includes the core subscription.

Studio size (owner included, no other billable staff)My Music StaffJackrabbit Music coreJackrabbit Plus bundle
40 students, 1 teacher$16.95$49$93
100 students, 3 teachers$26.85$49$93
150 students, 5 teachers$36.75$89$146
250 students, 10 teachers$61.50$89$146

Per month, subscription fees only, month-to-month, official pricing checked October 23, 2026. My Music Staff = $16.95 + $4.95 × (billable teachers and staff − 1), assuming no additional staff accounts. Jackrabbit Music counts students at month-end. The table excludes the items listed below: processing charges, Jackrabbit texting, the Plus setup fee and app store fees, and partner fees.

Because My Music Staff’s price follows teachers and staff, Jackrabbit Music’s core $49 band costs less only once a studio has eight or more billable teachers and staff with up to 100 students ($51.60 for My Music Staff at eight), and its core $89 band costs less only at 16 or more with 101 to 250 students ($91.20 at 16). These comparisons cover core subscriptions only. The step from 100 to 101 students adds $40 per month on Jackrabbit Music’s core subscription.

a. Payment processing

Processing charges are additional to the subscription in both tools and depend on the provider and agreement. Jackrabbit Music routes payments through Jackrabbit Pay and its partners. Its pricing page notes that many programs pass fees on to families, while its Jackrabbit Pay guidance says ACH and PAD processing costs cannot be passed to families through surcharging, so fee recovery depends on the payment method and account rules. My Music Staff connects to your own Stripe or PayPal account. Compare each agreement’s rates, transaction fees and return fees using the same payment volume and mix.

b. Texting

My Music Staff includes SMS reminders in the subscription. Jackrabbit Music’s Twilio texting costs extra and is billed on the Jackrabbit invoice. Published charges as of October 23, 2026 include setup of up to $69, a $4.90 monthly fee per number and $0.02 per message sent or received. Jackrabbit-managed texting setup is limited to paid US and Canadian customers and excludes trial users, and eligibility and rates may vary.

c. Setup, migration and training

Jackrabbit Music includes free data imports and a Product Coach on every plan, and charges $169 one time, non-refundable, for Plus. My Music Staff lists no setup fee on its current pricing page and offers migration support with phone and email help included.

d. Other included and separate items

My Music Staff includes hosting for a website built with My Music Staff and unlimited file storage for files under 2 GB. Jackrabbit Music’s integration partners, listed in its Partner Marketplace, set their own rates and bill separately.

Best fit

Jackrabbit Music makes sense for a school with many teachers per student, or one that needs the Plus branded app or the Enterprise dashboard enough to pay for it.

My Music Staff suits a studio that wants its subscription to track the number of teachers and staff rather than students, with every feature included at that price.

Jackrabbit Music vs My Music Staff: FAQs

Here are answers to the questions studio owners ask most when choosing between Jackrabbit Music and My Music Staff, from pricing and scheduling to make-ups, billing and alternatives.

Q1. Which fits a small music studio better, Jackrabbit Music or My Music Staff?

For a small studio whose calendar is mostly weekly lessons, My Music Staff has the lower subscription price, starting at $16.95 per month, and bills from the lesson calendar. Jackrabbit Music starts at $49 per month and fits better when group classes, ensembles or camps carry the business, or when you want a branded parent app.

Q2. How much do Jackrabbit Music and My Music Staff cost for a 100-student studio?

My Music Staff costs $16.95 per month with one teacher or $26.85 with three billable teachers and staff. Jackrabbit Music costs $49 per month for up to 100 students and $89 from 101 students. These are US dollar subscription prices on month-to-month terms and exclude processing charges, texting, Plus setup and app store fees.

Q3. Is Jackrabbit Music or My Music Staff better for an owner-teacher with 30 to 150 students?

My Music Staff has no student limit and a price that rises only with teachers and staff, so an owner-teacher working alone pays $16.95 per month. Jackrabbit Music suits the same range if group classes dominate, but its core price rises from $49 to $89 once you pass 100 students. Suitability depends on your lesson mix.

Q4. How do Jackrabbit Music and My Music Staff handle double-booking when a studio adds a second teacher?

Jackrabbit Music’s Appointments feature checks the staff and room availability you associate with an appointment type, and alerts you when a recurring booking conflicts. My Music Staff gives each teacher an individual login, schedule and availability, with room locations and permissions you control. Check how each handles your shared-room case in a trial.

Q5. Can Jackrabbit Music and My Music Staff take recurring tuition by autopay?

Yes, both support recurring billing and online payments. My Music Staff offers Auto Pay, automatic invoice reminders and late fees, and integrates with Stripe and PayPal, with ACH in the US. Jackrabbit Music automates tuition posting and scheduled recurring payments through Jackrabbit Pay, which supports US ACH and Canadian PAD bank payments.

Q6. How do Jackrabbit Music and My Music Staff help stop chasing parents for Venmo and Zelle payments?

Both let families pay online through scheduled billing, so the payment record sits in one place, and both let you record payments made outside the system. Neither lists a native Zelle integration. Moving families onto autopay can reduce manual follow-up, though failed or returned payments still need handling.

Q7. How do Jackrabbit Music and My Music Staff handle make-up lessons?

My Music Staff can issue time-based make-up credits for eligible missed lessons, including partial credits. Jackrabbit Music lets staff or parents book a make-up against an absence marked eligible, and you can apply a time limit, a session-end expiry or no expiry. Both replace text-message arrangements with a booking record.

Q8. What parent communication and lesson-note features do Jackrabbit Music and My Music Staff offer?

My Music Staff offers shared lesson notes with templates, private teacher notes, file sharing, and included email and text reminders. Jackrabbit Music offers a Parent Portal, messaging to selected students, families or classes, internal notes, class lesson plans and skill tracking with parent progress updates, plus a branded app with Jackrabbit Plus.

Q9. How should a studio write a late-payment and make-up policy before setting up Jackrabbit Music or My Music Staff?

State the billing date, late fee, absence notice window, make-up eligibility and expiry, and what happens when you cancel. Then configure the tool to match: Jackrabbit Music has organization-level make-up settings, and My Music Staff applies your cancellation policies in its Student Portal. Write the policy first so the software enforces one rule.

Q10. What do the free trials and refund guarantees cover for Jackrabbit Music and My Music Staff?

Neither advertises a permanent free plan. My Music Staff offers a 30-day free trial with all features and no credit card, and Jackrabbit Music offers a free trial and demos. For refunds My Music Staff offers a full refund if you ask within 90 days, and Jackrabbit Music’s 90-day guarantee has published conditions and excludes the non-refundable Plus setup fee.

Q11. What do Jackrabbit Music and My Music Staff cost beyond the subscription?

Processing charges are separate in both and depend on your provider and agreement. Jackrabbit Music charges extra for Twilio texting and a non-refundable $169 setup for Plus, plus app store fees, and its integration partners bill separately. My Music Staff includes SMS reminders and lists no setup fee. Extra billable staff add $4.95 per month each.

Q12. When does a music studio outgrow Google Calendar and Venmo and need Jackrabbit Music or My Music Staff?

Neither vendor publishes a minimum student count, so the signal is workload: recurring payment follow-up, lost make-up records or double-booked rooms. My Music Staff starts at $16.95 per month and Jackrabbit Music at $49. A short trial lets you measure the admin time against your own workload.

Q13. What are alternatives to Jackrabbit Music and My Music Staff?

Consider Opus1.io if families should book and rebook lessons themselves with room and instrument allocation, Teachworks if lessons move between teachers often and wages tie to lessons, or Sawyer if you sell children’s classes, camps and workshops online. These are editorial suggestions based on each vendor’s description.

Match the tool to your lesson mix and cost unit

Three factors drive this comparison. The first is whether your studio starts from the lesson calendar or from class enrollment, which is where My Music Staff and Jackrabbit Music differ most. The second is how you grow, because My Music Staff’s price follows billable teachers and staff, and Jackrabbit Music’s follows students. The third is how you track make-ups, as time-based credits or as eligible absences with optional expiry.

Pick the tool that matches your main lesson type, start its free trial, and run one cancellation, one make-up and one tuition invoice through it, including a declined payment, then compare the result with the other tool on GetApp’s side-by-side comparison page.
