Why scheduling by chat breaks down

In most businesses that work by appointment, scheduling already happens in a chat or on the phone. Someone then types the appointment into a separate system by hand. That second step costs time every day, and it is where double bookings and forgotten appointments come from. APPOYNT closes the gap: the conversation with your customer and the finished calendar entry are one and the same process.

What does the WhatsApp assistant do?

It understands natural language, voice messages included. It checks real availability, books, reschedules and cancels, and answers questions about your services, prices and opening hours. You decide what it is allowed to do. A shared inbox shows every conversation and its state, so your team can take over any chat with one click and answer in person. With the flow builder you can add your own WhatsApp flows on top.

Do you have to give up the calendar you use today?

No. APPOYNT comes with its own appointment calendar: day, week, month and list views, one column per team member, drag and drop, recurring appointments and utilization reporting. Either you work entirely inside it and need no second system, or you connect Google Calendar, Microsoft 365, Microsoft Bookings or Odoo and keep your current setup. Availability always comes from real data, so the assistant cannot double book.

Two ways for customers to book

The WhatsApp assistant for customers who write, and your own public booking page for customers who prefer a link: service, team member, date and time, personal details, confirmation. The page runs in German and English and embeds into your own website. Both read the same live availability.

What happens to no-shows?

Reminders go out automatically before the appointment, by email or by WhatsApp, where customers actually read them. For appointments you cannot afford to lose, you can require a cancellation fee. Analytics show utilization by weekday and hour, revenue per service and your no-show count, so you can see whether it is working.

Any business that works by appointment, for example practices and therapists, salons and studios, workshops, consultants and coaches. Appointments, customer communication and customer records run in one system instead of three.

Data protection and access

GDPR compliant and hosted in Germany. APPOYNT is an official Meta Tech Provider and runs on the official Meta Cloud API, not on an unofficial WhatsApp bridge. Consent is stored per purpose, WhatsApp sending can be switched off per customer, and a three level role system keeps larger teams in order. Customer data can be imported and exported at any time.
