What is Hero365?
Hero365 is an AI-native field service management platform for trade contractors. Rather than wrapping a chatbot around a CRM, it runs one always-on assistant that takes typed, permissioned actions against your business data — booking jobs, drafting estimates, assigning technicians, invoicing and reconciling payments — with a human approval gate in front of anything consequential.
Architecture
- One assistant, seven roles. A single runtime loads role-specific discipline (Concierge, Sales, Dispatch, Field, Finance, Care, Growth) into one shared memory of your business. No separate bots to train, configure or keep in sync.
- Typed actions, not free-form scripting. Every operation the AI can perform is a declared action with a validated payload and a risk tier. Nothing executes outside that contract.
- Graduated autonomy. Each action is scored for confidence and risk. High-confidence, low-risk work runs autonomously; everything else surfaces as an approve/decline/edit card. Thresholds calibrate per business and widen as you build trust; any autonomous action can be undone.
- Full audit trail. Every AI decision is logged with its confidence score, risk tier, inputs and outputs.
- Durable structured memory. Brand voice, pricing rules, past decisions and operational quirks persist as queryable business knowledge rather than a vector blob, so answers stay consistent and inspectable.

- Estimating: voice- and photo-to-estimate, Good/Better/Best tiers, per-business price book with overrides, e-signature, deposit capture.
- Scheduling and dispatch: skill and certification matching, drive-time optimization, capacity and conflict detection, service-area rules, time-off and availability windows, live dispatch board.
- Job management: mobile-first job records, voice updates, photo and document capture, truck-stock consumption, offline-capable time clock, mileage logging.
- Billing and books: invoicing, card/ACH/Tap to Pay, recurring billing, receipt OCR, vendor and bill management, bank reconciliation, chart of accounts, P&L, cash-flow and AR-aging reporting.
- CRM, retention and growth: contact lifecycle, service agreements and maintenance plans, review collection, referral and win-back campaigns, permit/storm/property signal monitoring, ad and content tooling, and a generated trade website with online booking and a customer portal.

Security and data handling
Data is encrypted in transit and at rest. Every record is scoped to your business ID and enforced at the data layer, so tenants are isolated by construction. Authentication is JWT-based with Apple and Google SSO, biometric unlock on mobile, and role-based access control for technicians, dispatchers, office staff and owners. Card data never touches Hero365 servers — payments are tokenized by Stripe. Call recording honors per-jurisdiction consent rules. Your data is never sold, never shared with other businesses, and never used to train models that serve competitors. SOC 2 Type II is in progress.
