Paul Planning overview

What is Paul Planning?

Paul is a workforce scheduling and time-tracking application for companies whose staff work across multiple sites: cleaning, security, reception, maintenance, events and hospitality.

SCHEDULING

Managers build the roster site by site with drag and drop: create a shift, duplicate it, or copy the previous week in one action. Estimated labour cost updates in real time, using a default hourly rate per employee with per-site overrides. Publishing the schedule notifies the staff concerned; uncovered shifts can be opened so employees volunteer, and replacement requests are checked against weekly hours, 11-hour rest, 48-hour limits, overlaps and existing leave.

TIME & ATTENDANCE

Employees clock in and out from their phone, automatically or manually, with an optional geofence radius. Managers get alerts for missed clock-ins and clock-outs, and can close an open entry or clock out on behalf of an employee.

TIMESHEETS & PAYROLL

Clock-ins feed monthly timesheets showing variance against the schedule, night hours and public holidays computed on the clocked span, meal allowances and paid-leave days. Managers review, approve, then send a per-employee PDF summary to the payroll provider in one click.

LEAVE & ABSENCE

Employees request leave with supporting documents; managers approve, and Paul detects conflicts with planned shifts and offers to open or transfer them.

COMMUNICATION & DOCUMENTS

Team messaging keeps working offline: messages, clock-ins, leave requests and forms are queued and replayed automatically when the network returns. An internal feed carries announcements, polls and a document library. Documents and forms can be signed electronically and filed to the employee record.

TRAINING

A catalogue of twenty-two short modules ships with the product, from manual handling and fire evacuation to road risk, welcoming disabled visitors and workplace English. Staff work through one in about fifteen minutes on the phone, answer an assessment, and download a PDF certificate. Managers see coverage module by module across the team.

SPECS & SECURITY

Native apps on the App Store and on Google Play, plus a browser version for desktop. Works offline, push notifications, private iCal feed to sync shifts with Apple, Google or Outlook calendars. Role-based access control limits each employee to their own scope. Two-factor authentication, configurable password rotation, full company data export and account deletion. Data is hosted in France (OVH, Strasbourg). Interface in French.
