Organizations that need both internal and external booking can manage these workflows in the same platform instead of maintaining separate tools.
The core model is resource-based. Administrators create bookable spaces or resources, define when they are available and control who can reserve them. Users see current availability and book through the web or mobile apps. QR codes can connect a physical room, desk or resource directly with its booking flow. Interactive floorplans help people find and reserve desks, rooms or parking visually.
Booking rules help organizations govern shared capacity without turning every reservation into manual administration. Administrators can define operating hours, booking schedules, duration limits, quotas, access permissions and approval workflows. Check-in can support spaces where organizations need to distinguish a reservation from actual use. Recurring bookings support regular room and resource use.
Public booking is part of the same resource-booking model. External visitors do not need to become ordinary internal users simply to reserve an available space. This makes Whatspot suitable for community rooms, classrooms, coworking meeting rooms, sports facilities, shared offices and other environments where bookable spaces are used by a mixture of employees, members and guests.

For shared-space operators, it goes beyond a basic appointment scheduler because the system is centered on physical rooms, spaces and resources rather than one-to-one service appointments.
Whatspot works alongside Microsoft 365, Microsoft Teams, Google Workspace and calendar workflows. Approved reservations can be synchronized with connected calendars. The platform is available on web and mobile, supports QR booking and multiple languages, and is designed to be configured without a lengthy implementation project.
Typical Whatspot users include small and midsize offices, hybrid workplaces, coworking operators, schools and universities, libraries, municipalities, community organizations, nonprofit facilities, sports organizations and venues.
