Powerful inventory management system, you can easily find and resolve overbookings.

Party Track’s Inventory Manager feature provides the ability to see any items that are overbooked for any period of time.  The quantity owned, quantity rented, and quantity short are showed for every overbooked item.  You can see a breakdown showing each order that has the item rented on it causing the overbooking.  You can create sub-rentals or purchase orders to resolve the overbooking and the overbooking screen will show that the overbooking has been resolved.  If an item has been returned but has not yet been cleaned, the screen will show that the item can be flipped (cleaned in time to be used to resolve the overbooking).

Items like tents, dance floors, and others are created as kits where a number of component items are defined as required items to build the kit item.  Inventory is managed at the component level and those items are shared by all kits placed on orders.  As an example, you may be able to add several kit items to orders within a timeframe.  Once there are no more components available, the kit item shows as being overbooked as does the individual components.  The kit items, such as a tent, are shown on the invoices without the component items.  Packing lists would show the kit and the kit component items.  Packaged items are similar except the items that are created as part of a package all show up on the invoice.

Items are auto-returned based on the pickup date of the order.  If any items are not returned because they are missing, or if items are returned but damaged, Party Track provides a simple way to record these missing/damaged items as unavailable.  This prevents you from having to record every item on the order as being returned, you only need to record those that are not returned.  If an entire order is not returned, you can modify the pickup date of the order and then it can be added to a pickup itinerary.

The Warehouse Manager feature includes the ability to create truck itineraries and assign drivers for scheduled routes.  These routes can be sent to drivers e-mails, printed, or in the near future sent to PTDriver where the driver can access and maintain order delivery information.  In addition to adding orders to the routes, you are able to add sub-rentals that need to be picked-up or returned.  Order information can also bypass the internal routing process and send the order data to Routific for automated routing.

You decide which documents you want to have signed by your customers. Examples generally include an Order Confirmation and Rental Agreement. If you utilize the credit card vendors we have an integration with, then a credit card authorization form is used to provide a signature that can be tied to the payment made by your customer through our Pay Now link. This is useful in helping fight a chargeback.

Once you send the documents to your customers for their eSignature, you can track the status showing if they’ve viewed, signed or declined signing the documents. You can also use the eSign Documents screen to resend the documents for signature. Once the documents are signed, they are stored on your network and the signed copies in a PDF format can be accessed via the linked files option from the order entry screen.
