Pros

This tool is an excellent knowledge base. This is the primary use for it that we have, and it does it perfectly.
It is a great great tool for creating documents like PRDs and Information Documents of Projects and then sharing with team members to view and collaborate.
Confluence is reliable and offers a good set of functionalities and features, the capacity to organize and edit documentation online is great.

Pros

I love the integrated templates that help me quickly launch new projects or tasks. Also I can easily integrate information coming from my computer, internet or other apps, It just an amazing idea.
Organizing notes or dashboard is super easy and fun. The feature of creating a note into another note then linking it to a line in a note is really helpful and it helps you make wonder.
This is great for a shared list for people to have visibility on. It was great for our team to see what everyone was doing, add comments and notes to each other.

Cons

Sometimes I have difficulties with formatting some of the tables as it is frustrating when it does not follow what you want it to do and it takes a while to correct the mistake.
Searching was severely handicapped, and no linking of documents was really feasible. There was also poor management of permissions.
Performance over the last 6 months has degraded and it's now really slow. The over-arching user management is really confused.

Cons

The offline mode for Notion is frankly quite bad as you have to preload the pages when you have internet beforehand. Otherwise, your notes would be inaccessible.
Now that we use Notion, we're much more organized. The last program we used was boycotted by nearly half the team because of how difficult it was to navigate.
Notion changed my perception about the note taking apps. I use Notion mostly for organize my notes, preventing them from turning into mess.

It’s used as a source of truth but feels like a task to keep this updated. We love Miro, Notion and Jira and would scrap Confluence if the tech team weren’t using Jira. It’s a great package with Jira otherwise.

Pros

That it links with Jira which is beneficial to keep the tech and product team updated with sales and business development.

Cons

It’s not very user friendly compared to other tools like Notion. Notion has a lot more functionality.

Pros

It is rich in functionality and has a lot of integrations with other tools, including JIRA. I love how well it integrates with JIRA.

Cons

The interface out of the box is clunky. If you customize, it looks a lot better.

Confluence has a number of key benefits chiefly the way that it seamlessly integrates with Jira and other Atlassian products. It's a must have add on if you use Jira. Especially as your organization grows. Version control and roles are great as well.

Cons

If you don't use jira it's kinda of clunky. More modern systems like Notion have a better UI.

It's easy to understand to seek, add and edit content for small and big teams. It has a mobile app to go along with your teammates.

Cons

It's slow compared to other solutions like Notion. You can host your own Confluence server, but it's more expensive.

Overall the product is robust and reliable but lacks in experience. I wonder how many would pick it off the shelf if it was “just” a standalone offering.

Pros

Confluence is a reliable knowledge management software, and does its job. Lately the team has added features that appear in modern competitors. Especially shines when documenting jira based projects.

Cons

The suite is still somewhat complicated and the user interface not as delightful as modern competitors such as notion.

Despite having a slightly steeper learning curve when compared with Notion or Coda, Confluence is perfectly integrated with Jira and that makes it worth the trade off.

Pros

Confluence is a well-rounded tool for internal documentation in the company. If you are already using Jira and/or Bitbucket, choosing Confluence is a no brainer given how well it is integrated with those products.

Cons

Confluence lags behind a bit in terms of user experience, if compared with the likes of Notion or Coda.

Generally a positive experience but it's a classic case of the established, expensive, and less flexible piece of software compared to more modern options like Notion. I would recommend really only to teams that use Jira heavily and want a source of documentation.

Pros

Works really well with Jira and especially for developer teams that require integration with it. The editor is solid and offers a number of add-ons. Dark mode looks great and document indexing is smart.

Cons

Real time editing isn't as seamless as Notion is. Adding addons is hard and requires admins to set up. Very expensive.

I had been using confluence for years now, always worked well and provided a interface for planification and requirement definition.

Pros

What I like the most is that you can integrate confluence with Jira. A task management tool and a documentation tool, both very solid, together but separated. This is awesome, as you can have different people focusing on different solutions without interfeering.

Cons

I really have nothing to compare it with. You could compare Confluence with Notion, but the way Confluence and Jira integrate makes it uncomparable.

It is good, sometimes looks very intimidating to a new user. Could have been better but no major complaints if you start using it.

Pros

The directory structure in which documents can be stored makes it very intuitive to understand the documentation.

Cons

Editor could have been better. Something like Notion has a very good editor with very intuitive user experience and support for lot of things using a simple slash command.

Outdated software from another decade

I wouldn't recommend anyone to use this software, it might have some features, but other vendors have a far more superior knowledge base. I would recommend using Nuclion or Notion.

Pros

It has some features which would be nice to use, but I didn't enjoyed using this software at all.

Cons

First of it is terrible slow, the page loading time are way too long. I had contact with the support (which is quite good), but he couldn't help me with this request, just postponed it with "It might get faster in the future". At least twice the browser tab crashed when I was editing a page, resulting in losing all my content since my last save.

Confluence is a critical tool for significant documentation from an engineering/product standpoint. I don't think it will be the only tool fast agile businesses will use for documentation but it is still best in class for engineering functions.

Pros

Confluence is the most trusted documentation player in the game. We use Jira for our engineering task management so naturally, the seamless vertical integration between the two tools is excellent. Confluence has an excellent template library and perhaps most importantly, the performance is always reliable. We can't use tools like ClickUp due to bugs and performance issues for long significant PRDs. The collaboration on confluence is excellent and permissions around editing is also important.

Cons

Confluence is quite clunky (much like Jira). The ability to edit isn't as easy as ClickUp or Notion and that can get frustrating when you're trying to make changes quickly.

It's flawed, like other Atlassian products. Use newer tools like Notion instead.

The UI is so much better now after their recent redesign. It's actually very usable, and has many content types and collaboration features that are intuitive . I don't mind using it. But it's still awkward or slow at times. And if you may need to share more than just a few pages outside of password-protected Confluence, it will be a pain at best, impossible at worst.

Pros

It does have great collaboration options. Adding/editing/sharing/tracking content with a team is great. It's great at managing INTERNAL private secret documentation. I appreciate the redesign they did few years ago. It's much easier to use now. Still, even that is not as good as Notion, which also has excellent collaboration features. I have no affiliation with Notion - I just wish my current and/or future employer would use it so I wouldn't have to use awkward slow Atlassian products.

Cons

Sharing anything outside of Confluence, to the general public, is simply not possible - except for saving each individual page as a PDF.

Confluence is a good tool to create internal wikis if you are already using Jira. You can create pages and link relevant information. It is a good way to communicate structured information and processes in a big organization.

Cons

The product is not intuitive, it is pretty hard to use and understand and it's not "pretty." I have used other products that do the same thing that I prefer better such as Notion.

Pros

Confluence is a great wiki that allows collaboration by every team member. It is easy to structure and create new pages, as well as protect sensitive information on a given page by using the access permissions.

Cons

The editor only allows a special type of Markdown language and there is no support for classic Markdown. This makes difficult to copy from other note keeping software like Notion or Obsidian and paste on Confluence.

I'd recommend Confluence for anyone using Jira and Bitbucket, given the seamless integration, since they have a common parent - Atlassian. However, the product could see quite a bit of improvement when considering competitors like Docs, Notion or Slite. The enterprise version especially could see a more unique and modern overhaul

Pros

For teams that use other Atlassian products like Jira or Bitbucket, Confluence is a no brainer when it comes to creating team wikis, or documentation. Documents are organized in hierarchies with rich text editing features, ability to attach files, and embed code and frames. The enterprise version allows you to track the document editing history which is useful when multiple teams are working/accessing the same document.

Cons

Lack of features compared to other document solutions like GDocs or Notion. The shortcuts to insert dates, special artefacts are few and complex. Embedding files and tables could also be optimized greatly. Formatting also gets messy when copying pasting content

Overall Confluence is one of my favorites and one of the must-have tools. It is also great that the product is evolving and becoming more and more sophisticated, so if there is something you don't like now, that might change.

Pros

Confluence is user-friendly. I like that there could be created multiple spaces, also spaces could be linked with Jira projects. Text editing tools are also useful, especially info panels, tables, and the opportunity to integrate with other productivity tools, for example, the one I love: integration with miro and the ability to insert Miro board.

Cons

I think Confluence is better if you are already using other Atlassian products, but if you are using other project management tools you may want to go with Stonly or Notion for smaller teams. I think Confluence is the best option for bigger teams who already use Jira and have some other tool as a customer education platform. Public pages I have seen are better designed in Stonly or Notion - easy to navigate and more beautiful to the eye. For educating customers interactive knowledge base is very important - you don't want to have that much text content that will never be read.

If you can get your product team and others in an organization to use Confluence as the source of truth, it can be beneficial to use as a wiki. I would definitely say it's not as user-friendly as I'd like it to be, and I'd prefer to use Notion instead for that reason.

Pros

Confluence can be used as a product wiki of sorts and also integrates easily with Jira tickets and tasks. There are tons of configuration options and it's able to host tons of information for a product team.

Cons

Because it's such a large tool, it can feel like the tool is just trying to include every feature under the sun. It's not super focused on what it's trying to do, at least that's what it seems like. It can feel overwhelming and confusing to navigate at first and takes some getting used to.

Pros

We added Confluence to our Atlassian package a few years ago, and I'm glad we did. Although it was difficult at first because there is no notion of "folders" on Confluence, once you get the hang of the document tree, it was easier. I like that you can upload files to one page to have a document repository of files and that you can separate out different teams and projects with spaces. And the ability to have my own personal space to keep notes and thoughts that are not visible to my team is very nice as well.

Cons

Why is there no concept of folders? This was a tough one to overcome at first and almost made me not want to use the software, though I'm glad I stuck with it!

We're using Confluence to track projects and roadmaps, to create an internal knowledgebase for teams and the entire org, using it to track bugs and sprint reports to integrate with Jira.

Pros

The best thing about Confluence is the Integration with other Atlassian tools, especially Jira, and if you are using both at the same time it helps to pull data automatically in the service desk and suggest articles and information or log tickets. It's fairly simple to build out pages that are very basic but going further in depth or building something more complicated takes some time. It's not 100% intuitive.

Cons

It doesn't integrate with anything else which is an issue because it's not ideal that within every organization you'd be using all Atlassian tools. Building out pages is complicated and not intuitive, it takes some practice. Notion offers more ease and option here. I think the tool is really easy for engineers to use especially as they are used to using Jira or Atlassian, but business folks struggle. I might also argue that the search functionality is too good - which is an odd complaint but it can be hard to sort through all of the hits that you get when you are looking for something specific.

We've been strongly recommended by colleagues to use this software as our main Wiki. We really did test A LOT of software before, and at first we were excited about Confluence. However, after about 1 year of use we decided to drop it. It might be suitable for big, heavy, slow by nature organizations, but not for an agile SMB that needs to operate fast to get ahead. The software is buggy, unnecessarily complex, and very restricting in nature. For our purposes using Clickup Docs, Google Sites, Notion, or any other countless simpler options proved a more sane choice. Hoping Confluence will improve the software, because there's lots of potential. However, with the current limitations we don't see ourselves giving it another chance.

Pros

The software provides a rather generous free tier. The search capabilities are quite good, and there are many page formatting options, which makes it quite a good Wiki software potentially. However, the bugs and shortcomings of this software renders it rather unusable for us.

Cons

The software is VERY buggy, tends to crash unexpectedly (we tested it on strong machines, across users and browsers). It takes FOREVER to login. Getting to your Wiki takes lots of unnecessary clicks. What's worst is that each page must hold a unique names, so if for example you plan to create several page structures (with subpages and so on) with similar names, forget about it. It's due to the legacy architectural structure of the software, and can't be easily changed. Unfortunately, that what makes it fall behind. We dropped it for favor of modern alternatives.

Central repository of information/knowledge base. All teams have a space they are regularly updating.

Pros

I have used Confluence at other organizations for document management/knowledge base and Notion blows Confluence out of the water. You can do so much with Notion and really customize it to fit your needs. It is intuitive to use and I really love how you can organize information.

Cons

There is a slight learning curve at first, but it is a great product with good product documentation and video tutorials.

Pros

Notion seems to be the more aesthetically-appealing cousin of Confluence. I found it very easy to use and navigate.

Cons

Unfortunately, I didn't have a ton of exposure to Notion, so it's hard for me to comment on any negatives.

Pros

Notion is great- It combines the project-management features of Confluence and JIRA in one environment. It's very intuitive, anyone can pick it up on their first day. It's great for documenting how things work, how stuff was done, etc. Tons of helpful in-line features like tables and gallery view. Lovely integration of emojis. Page nesting very helpful for building out a "manual" to your business.

Cons

There is one really frustrating issue with Notion: It's way too easy to edit. Simply clicking on an article or ticket can wipe away it's title or content. I've done this more than once. I'll be poking around some documentation left by an engineer and accidentally re-write a portion of the notion page. Another smaller issuer is that they don't index tickets (like JIRA). Since there is no numerical value assigned to the 100s of engineering tix, it can be cumbersome referencing them.

Pros

We use Notion for almost everything: - Knowledge hub - Project boards - OKRs - Information platform and news We don't need more than 5 tools anymore, because Notion includes the functionality of all of them. We don't need Confluence, Jira, Trello, Apple Notes, Apple Keynote, Microsoft Forms and more anymore. (Of course, Jira etc. can do a lot of more deeper functionality things, but we don't need them (yet))

Cons

SAML SSO and SCIM is only available with the enterprise version, which is 20 $ instead of the team-tier for 8$ per user per month. Just to use SAML/SCIM you should pay 12 $ more per month per user - in my opinion it's not valid. But of course, big companies need that and therefore they pay the money.

Pros

Can do just about anything you can imagine. I replaced Trello Boards, Confluence type of documentation, Onenote, Todoist, Meetings, Databases, everything. The block style formatting takes a few minutes to get used to, but once you are in the groove you cannot be stopped. I use this tool for just about everything now. Sure it takes me a bit to type things up, categorize it, ect, but my productivity is way up now

Cons

Would like if there were an easier way to export it into Word or into a format that could easily be pasted into Outlook as many things I Notion require an email. Or have an outlook plug type of thing.

Overall even if it lacks some functionalities regarding integrations I think it's a very good software that can help you almost with any need (to some degree). Maybe if I needed it for something very specific I would consider using software that's focused on it because it would probably handle things better.

Pros

I love how flexible it is. You can use it for almost everything you need: Collecting recipes, task planning, project planning, and budget planning. It's nice and you can really see that the people who are developing it put a lot of thought when doing so. Usability is good and it's very intuitive overall.

Cons

I feel that lacks some basic things: For example, every time I have to edit a text to change the colour, font size... I need to click and select, which slows down the process a lot. Also, it freaks me out so much that in the lateral navigation, if you have a page, you can expand it even when it doesn't have child pages. If I have a page that doesn't contain other pages just remove the expandable option.We've tried to use it at work but we dropped it when we realised we couldn't synch it with Jira. I think it would be very very helpful and a great way for designers to switch from Confluence to Notion and have everything centralised in one place.

Perfect product, priced exactly as it should be.

Pros

Notions acts as a backbone of your team in a term of article storage and discussion place. You see, it is very easy to say "a lot of systems offer article and document storage" but in reality most of them lack clean representation, simple but working hierarchy, sound way to discuss the document, comment it, and notify about the changes. More, notions allows you to attach arbitrary files and images...

Cons

Here I am looking at 100min counter and having no idea what to write. The only thing what I am really scared of is that notion may attempt to change the focus and instead of master of articles become jack of all trades. Right now it is one of the rare products I use every day without any regrets.
