Software is user friendly but offers a wide range of features that makes it appropriate for a wide range of organizations. As a re-seller we have had great success in municipalities, health units, employment agencies, etc.. and each organization's requirements have been met. The support team is also very knowledgeable and responsive when needed.

Overall I would recommend this product. If you are moving from a network type system to a DMS , this is the way to go. You do not need to be a programmer to get this thing going. All you need is a few hours of IT time and the rest you can do yourself. I implemented our program in 2 months time.Easy to implement and easy to configure to my company's business requirements The searching capability is wonderful and greatly reduces the time it takes to find a document - we are now getting structure out of mayhem! The library structure makes using FileHold easy even for the most novice of users

Main features

Version control

FileHold users know when the documents they’ve created are being edited by colleagues. They can also re-visit previous versions of their documents at any point. This decreases process latency and increases workflow efficiencies.

Version control tools are built into the platform, and FileHold keeps a unique version of each file as it is checked into and out of the digital library. Past versions of documents are never overwritten. Document versions are number as 1,2,3, etc.

Document tagging

Document tagging, also known as capturing metadata, increases the efficiency and accuracy of search results. Document tagging facilitates intelligent database mining, which is one of the reasons it has become a must-have feature for businesses researching the best digital document storage solutions.

As you add new documents to your FileHold library, the system will prompt you to classify each file using metadata fields. These fields are defined by controlled vocabulary, metadata menus, and text fields. FileHold also provides you with the ability to add pick list metadata fields—for example, a metadata field titled “Customer Address” might be added to an invoice document stored in the system.

User roles

Not every person within an organization requires an equal level of access to private documents and files. FileHold understands this, which is why the company has provided 11 different user roles for businesses. These user roles range from Read Only and Document Publisher, all the way to System Administrator and Senior Library Administrator.

You can select a unique role for each collaborator within your organization and, with these roles set, you’ll have complete authority and flexibility over the power that individuals have to access or modify documents in your library. For example, Read Only users can open or email documents from the system, but may not edit or delete those files.

Audit logging

Strict compliance regulations can derail some document management systems, however FileHold offers tools specifically designed to keep businesses in compliance. Its document and user tracking logs record all user interactions with documents, including usage and actions, version creation, and comments or approvals.

When you click on the document usage log within your FileHold account, you can review records of the interactions your employees or colleagues have had with the files stored in the document management system. You can search the log to find interactions specific individuals have had with documents, such as when a document has been downloaded, emailed, copied, or deleted. In the event a document has been deleted by mistake, you can use the usage log to see who deleted the document and when that deletion occurred.

Microsoft Office Application Integration

Users are able to access FileHold from the toolbar or file menu from within Microsoft Office applications, such as Word, Excel, Outlook, PowerPoint and Visio.

You can add, checkout, browse, and send a document for review or feedback directly from Microsoft Office applications. You can even add a document to FileHold directly from Excel, with the ability to view the entire library tree, the contents of a folder, and the metadata required for the file in a single view.


Out of the box, FileHold integrates with any third-party applications. The app allows users to search from any other application directly in the FileHold repository and display all search results. It also has a free, well-documented web services API that allows developers to create interfaces into all of the functions of the FileHold software.


Pricing for FileHold is on a per user seat basis, which varies in cost depending on the number of seats purchased. Organizations are expected to pay a one-time perpetual license, and they are supported by a FileCare contract that provides unlimited technical support and all future product upgrades. The cost is 20 percent per year of the initial licensing.

For customers who who need a solution in the cloud, FileHold offers the ability to contract an outside service provider. It also has partners who host the app and sell it on a per user, per month model.
