Xoralia is a policy and compliance management application that deploys into SharePoint Online and Microsoft Teams. It uses your existing Microsoft 365 services for storage, identity and collaboration, and adds the lifecycle, attestation and reporting layer that SharePoint does not provide out of the box.

Document lifecycle

Policies, procedures, SOPs and other controlled documents are held in SharePoint document libraries, across as many libraries as you need. Owners draft in Word or other Office apps using track changes and comments, then submit for review and approval. Approved documents publish automatically, version history is retained in SharePoint, and each document carries an owner, review date and metadata such as category, department and audience. Xoralia alerts owners ahead of review and expiry dates and archives superseded versions.

Distribution and attestation

Documents can be assigned to individuals or to Entra ID groups, so new starters and movers pick up the right assignments automatically as group membership changes. Assignments can be mandatory or recurring (for example annual re-reads), and automated email and Teams notifications continue until staff acknowledge. Comprehension quizzes can be attached to test understanding as part of the attestation.

Publishing and search

A set of SharePoint web parts lets you build policy pages on your intranet, filtered by audience, department or category. Staff can also read and acknowledge from the Xoralia app in Teams on desktop and mobile. AI search lets users ask questions about policy content and is permission trimmed, running in the signed-in user's security context so results only include documents that user can already access.

AI Quiz Builder

The optional AI Quiz Builder generates comprehension questions and answers from a policy document for the owner to review and approve before use. It is off by default and enabled per customer. It runs on Azure OpenAI in a UK Azure environment, and Xoralia deletes document content after processing.

Reporting and audit

Built-in compliance dashboards show attestation, overdue reads and upcoming reviews by document, group or individual, with no set-up or extra licensing needed. Every approval, version change, assignment and acknowledgement is recorded with a timestamp and can be exported as audit evidence. For deeper analysis, Xoralia data can also be reported through Power BI.

Integrations

SharePoint Online, Microsoft Teams (desktop and mobile), Microsoft Entra ID, Word and Office apps, and Power BI. Customers also extend processes with Power Automate.

Security and architecture

Xoralia is deployed single tenant, with one installation per customer. Policy content and version history stay in the customer's own Microsoft 365 tenant, while assignment and acknowledgement records are held in Content Formula's Microsoft 365 environment. Authentication uses Entra ID single sign-on. Xoralia's Azure services sit behind Azure Application Gateway web application firewalls and Azure virtual networks, and the application has been penetration tested. Releases are managed through Azure DevOps with product manager approval before production deployment. Hosting is available in UK, US, Canada, Middle East and APAC data centres, and the interface supports multiple languages.

Xoralia is a SaaS subscription with setup and onboarding included. A free trial, self-service portal and knowledge base are available, with live support from 7am to 11pm UK time.
