The platform applies a streamlined three-step workflow beginning with job intake where service providers enter basic customer information which triggers an SMS containing a unique tracking link. Each stage can be customized to match specific business workflows and can include detailed descriptions for steps such as checked in, wash and decontamination, paint correction, final polish and ready for pickup or alternative sequences for other service types. When a technician advances a job through these stages with a single tap the system generates and sends an SMS notification to the customer while updating the live tracking page. This tracking interface displays job progress with timestamps, recent updates and current status information resembling package tracking systems.

Two-way customer messaging allows clients to send questions or additional requests directly through the tracking page with messages appearing in the service provider dashboard. Line-item estimate creation with one-tap approval capability enables businesses to deliver detailed pricing breakdowns that clients can accept directly from the tracking page. Stale job alerts identify jobs that have not been updated within expected timeframes and trigger daily reminders for service providers while sending courtesy late notifications to customers whose jobs exceed estimated completion times. An emoji satisfaction capture system collects feedback at job completion by guiding satisfied customers to leave public reviews and directing dissatisfied customers to provide private feedback. Automatic review request links are sent via SMS once a job is marked complete and before-and-after photo uploads support visual documentation of service work.

FixyFlow functions as a standalone communication layer that complements existing business management systems rather than replacing them. It integrates seamlessly with scheduling, invoicing and inventory tools and does not require API integration or the configuration of external messaging accounts.
