What is Celiveo 365?
Celiveo 365 is a cloud-based secure print and AI-DMS SaaS for organizations moving their IT into the cloud. Built on Microsoft Azure, it extends Microsoft Universal Print and uses Entra ID for identity, so it suits companies already standardized on Microsoft 365 rather than on-premises-heavy or mixed environments. It comes in two editions—Cloud Print and Enterprise—letting an organization adopt print and scan first and add the document-management layer later on the same platform.
Who it is for
The platform targets medium-to-large enterprises, particularly sectors handling high document volumes and sensitive data such as finance, healthcare, and legal services. It supports deployments from a handful of users to well over a hundred thousand, across single-site and multi-country operations. Typical evaluators include IT teams retiring print servers and drivers, security and compliance officers focused on data protection and access control, and finance or operations managers tracking printing costs. The Enterprise edition also suits organizations where staff lose time searching for information across scattered systems.
It is a less natural fit for organizations not on Windows, those relying on on-premises directories without Entra ID, or those needing a print solution running entirely inside their own data center, since the platform is cloud-dependent and Microsoft-centric.
Cloud Print edition
This edition handles secure printing and scanning without traditional print infrastructure. Instead of print servers and drivers, it relies on Universal Print and aligns with the Windows Protected Print (WPP) model. Users print from Windows, macOS, iOS, Android, and Chromebook devices, including remote locations. A central feature is pull (follow-me) printing: a job is held until the user authenticates at the device via PIN, card, or NFC phone, then released—reducing uncollected output and controlling who retrieves a document.
Some printers run a Celiveo embedded agent that talks directly to the cloud with on-screen control, while a lightweight IoT service bridges other IPP-compatible hardware. Documents are encrypted in transit and at rest, decrypted at the printer after authentication. Communication is outbound-only over standard web ports with certificate-based mTLS authentication, a Zero-Trust approach. An AI-assisted data loss prevention (DLP) function inspects documents for personal, health, and financial data and can warn or block on rules. Administration runs through a web console covering printer discovery, bulk onboarding, access policies, location tags, print rules, and Power BI reporting on volumes, costs, and environmental metrics.
Enterprise edition
This edition includes the Cloud Print capabilities and adds a document-management layer that builds a corporate memory. Capture is easy: when a user prints a document, email, or on-screen content, the information can be routed into a private knowledge base instead of, or alongside, printing, so capture needs no separate tool. Learn information is siloed and retrieved through natural-language questions via an AI agent inside Microsoft Teams, with answers linked back to source documents for verification. The knowledge base stays within the customer's own Microsoft 365 tenant, is encrypted, and is not used to train external AI models. Information is organized into siloes and shared on a cohort basis, so access reflects a user's group rather than pooling everything or keeping it individual. The stated aim is productivity: making scattered information findable to reduce time spent searching.

Both editions share a serverless Azure-based design, integration with Microsoft 365 and Entra ID, certificate-based security, per-active-user subscription licensing through the Azure Marketplace, and stated compliance with ISO 27001, GDPR, and HIPAA.
