What is CAYA?

Mail digitisation and document management from a single source: with Caya, self-employed people and small and medium-sized enterprises can digitally receive, organize and process all documents, including their letter mail and forwarding mail. In addition, Caya can set up a P.O. box address for everyone from which the user can receive their mail digitally. Users receive their mail in the Caya Document Cockpit and are notified by email or push notification.

From direct marking and editing of the scanned PDFs to forwarding and good archiving as well as sending the originals, everything works flawlessly. We have often recommended CAYA to our acquaintances.
Great solution for managing your physical mail from anywhere on the world.
It helps in sorting and categorising the mail and you can decide in advance which documents are really necessary in physical form.
Cons
Unfortunately, the direct payment function for invoices does not work for us. The connection to the bank breaks.
The delivery outside of Caya is problem for me. I don't know which letter returns and which is forwarded.

Caya makes life easier

It is possible to work more stress-free, since the walk to the mailbox is eliminated. In addition, you have all the documents in one place.

Pros

We used Caya because we often work remotely. The service is decently priced and the data processing tools are just great. From direct marking and editing of the scanned PDFs to forwarding and good archiving as well as sending the originals, everything works flawlessly. We have often recommended CAYA to our acquaintances!

Cons

Unfortunately, the direct payment function for invoices does not work for us. The connection to the bank breaks.

Beste Software nach meinen Tests

Da ich viel im Ausland unterwegs bin, ist für mich die elektronische Zustellung der Post unabdingbar. Mit CAYA kann ich sicherstellen, dass meine Dokumente OCR fähig revisionssicher abgelegt werden und ich selbst entscheiden kann, welche Dokumente ich postalisch benötige und welche nicht. Der Aufwand, die Dokumente, wie bisher, manuell zu scannen und zu verarbeiten ist somit gleich null.

Pros

Die Übersichtlichkeit und die Einfachheit der Bedienung. Die Dokumente sind gut aufbereitet und OCR fähig lesbar. Die Zustellung erfolgt (i.d.R.) relativ schnell und zuverlässig. Es ist auch möglich, mehrere Adressen gleichzeitig zu verarbeiten. Alles in allem sind wir sehr zufrieden mit dem System.

Cons

Die Geschwindigkeit der APP lässt manches mal zu Wünschen übrig. Die Automatische Erkennung des Absenders funktioniert nicht immer einwandfrei. Ärgerlich ist die umständliche Zustellung von Warensendungen, was jedoch mit CAYA nichts zu tun hat. Hier werden die Dokumente geöffnet und fotografiert. Im Business Paket sollte eine mehrfache statt nur monatliche Zustellung inklusive sein. Selten erfolgt eine Zustellung in einem größeren, zeitlichen Rahmen.

Scan service for physical Mail. You can access the scans worldwide

Cons

Not enough workflows, with workflows (and without it's a quite dumb service, so you really need them) rarter expensive

Modernes Arbeiten leicht gemacht

Pros

In einer Post-Corona-Arbeitswelt ist das Arbeiten von Zuhause für viele eine Selbstverständlichkeit geworden. Auch wir sind 2020 den Schritt gegangen und arbeiten nun "von überall". Aber was passiert mit der Post, die man immer noch bekommt? Dank CAYA ist das für uns kein Problem. Die Post ist direkt digital. Und verschlagwortet! Und wenn man doch mal etwas im Original braucht, lässt man es sich schicken! Toller Service!

Cons

Das einzige, was ich manchmal blöd finde ist, dass die Briefumschläge mit eingescannt werden. Macht die PDFs unnötig groß. Hat aber vielleicht rechtliche Gründe.

Gute Software auf dem Weg zu einem digitalen Unternehmen

Der Gesamteindruck ist sehr gut. Die Post wird direkt ins E-Mail-Postfach gescannt. Dadurch wird ein essentieller Arbeitsschritt im Unternehmensalltag eingespart.

Pros

Die Einrichtung zu Beginn hat sehr gut geklappt. Das neue Feature der E-Mail-Weiterleitung unterstützt uns sehr bei der Bearbeitung der Post, da so der Schriftverkehr in ein Postfach geleitet wird.

Cons

Die Abos für die Nachsendeaufträge funktionieren nur für die Deutsche Post. Für andere Anbieter, wie beispielsweise die Citipost muss zusätzlich ein Nachsendeauftrag eingerichtet werden.
