A lot for your money

Overall, I like the program- it does what I need, and my biller uses it- so we are all on the same page. It schedules, bills, files claims and creates reports all for a very affordable fee.

Pros

I like that the scheduling, billing and insurance claim filing is all in one program. As I learned my way around the program, I found I liked it more and more. I have utilized the Patient Ally portal for my patients, and had some of my forms put into electronic form so that patients have the option to fill out registration paperwork online. This has been such a nice feature. Patients use this to schedule their own appointments as well.

Cons

The video appointment- virtual appointment feature is non functional for me. And it sends an email to my patients in the middle of the night with a link for our appointment which is their link-- however, it doesn't work-- I use Doxy in place of this feature, but its confusing for my new virtual patients to get the email from Office Ally and then it doesn't work.

You get what you pay for.

It's okay, works decent for small practices, I use it for my billing business of over 30 individual providers.

Pros

It's cheap and I have been using it for years so I know how to get around in it. Although it is not as cheap as it used to be and I am contemplating moving to a different system due to the expense growing. For what I pay monthly, I could be on a much better system.

Cons

Clumsy features. Auto posting is not great. Would love to see the visit, the subsequent claim, the eob all in the patient file. The aging report is horrendous. The collection report is closer but still a mess.

Overall, very pleased with the service.

Pros

Real Time Claim Status is accurate and helpful for tracking payments. Also, billing feature tells you when there is missing information so you can make corrections prior to submitting bill.

Cons

I do not like the new version. It is not as comprehensive and does not have the Real Time Claim Status feature (at least not yet).

Practice Mate Billing Review

My overall experience has been great. I’ve encouraged other private practice practitioners to use it as well!

Pros

I find the platform incredibly easy to use. When I was first learning, customer service was responsive and helpful, but I haven’t had to utilize this in years. I only bill HCFA claims, but I love the ease and simplicity of it!

Cons

I do not have any complaints about Practice Mate.

It's a great product! If the billing system is improved and it's the No. 1 product in the field!

Pros

Easy and friendly use! And it is matched seamlessly with the EHR of Office Ally.

Cons

For the appointments column, if there is more content display will be more convenient! The billing is not good enough.

Practice Mate is a very useful tool.

My overall experience has been good.

Pros

I appreciate the scheduling features and ability to have patients fill out intake documents online and keep them in their patient record. It also makes filing claims and tracking payments/accounts a breeze. I have found their customer service to be good and their scheduled training sessions to be Extremely helpful, especially in the areas of accounting and filing secondary claims.

Cons

Unfortunately I do not receive an alert that I have a new message in the patient portal so I have to remember to check many times through out my busy day. Also, there is no way for me to securely send messages with attachments to others in our practice- only to patients.

Great program for mental health practice!

Overall, I really like it and have used it at two practices.

Pros

I love the ease of scheduling appointments and checking clients in so that it can be easily and directly billed.

Cons

I don't like the fact that all the practitioners can see each others reports. So if we all have access to our own reports, we have access to all other providers as well.

Great for Single Provider Practice

Pros

For a small, single provider mental health practice, this software makes billing much simpler. Entering demographics and billing is easy. Most clients are seen for the same procedure and diagnosis each time, I can template my charge entry to have these items automatically fill in at each visit. Easy to view and resubmit the claims that are sent. Can create pop-up notes when accessing certain areas of a patient (scheduling, demographics, etc). Can electronically post EOB's if setup to receive and process the insurance's file. Cannot beat the cost (or lack of cost) for using this software.

Cons

The Accounts Receivable can be challenging at times. Cannot reverse payments/adjustments on an account with a negative transaction, must delete these out, which is a nightmare for tracking or auditing. If the EOB wasn't posted by the system, have to manually search for the patient by looking at each EOB for that insurance.

Love OA

Excellent for billing.

Pros

Easy to use. Great customer support and help with start up. Easy billing to all my insurance companies. Quicker payment as a result of electronic billing. I have recommended OA to many colleagues. Wish I started with OA sooner.

Cons

Had trouble with the practice management area which I tired briefly.

A worthwhile product

Overall, I find it very easy and helpful to use this product. I really like the reports I can pull for doctors when needed.

Pros

I like the ease with which I can change claims from active to wherever I need to place the claim during different processes. Since I work with denied claims often, it helps me to prioritize the claim according to the phase it is in - i.e. appeal, ready for claim, claim created primary, etc.

Cons

I feel like there could be a little better toggling from one screen to the next. For example, when I need to find a payment ID, it would be nice to have a one-click feature from the patient's billing history rather than having to copy and paste it into accounting.

Practice Mate Adaptability

The scheduling, the electronic prescribing, and the billing are facilitated by Practice Mate.

Pros

Ease of use and it meets HIPA requirements in order to carry on electronic prescriptions and medical insurance billing.

Cons

There is some difficulty in adapting and personalizing the program to be used as the only medical record.

Intuitive Comprehensive EHR and Practice Management Solution

Ten plus years of experience with Office Ally with only a handful of hiccups. Definitely on par if not better than much more costly systems like Epic!

Pros

Cloud based solutions catering efficiency and cost mitigation.

Cons

As with all Cloud systems, we are at the mercy of network connections.

Office Ally for Group Practices

It's a vast improvement over other services we've used. We don't use all the features available as some are not as cost efficient for smaller client populations. It has eased many of our processes, such as insurance eligibility and billing.

Pros

It's easy to learn and navigate for clinicians responsible for scheduling their own clients or for administrative staff to coordinate between clinicians and clients.

Cons

Sometimes the system is a bit slow to respond to commands and sometimes a user needs to go all the way through a process again vs using the back button to enter a new search.

OFFICE ALLY, a comprehensive medical practice solution

Practice mate is great, we have used it in our medical practice for over 10 years.

Pros

Office ally is great because the practice mate is free. They will charge you nominal rates if you use some of the extra features like submitting claims, EHR, billing invoices, and a number of services that may be beneficial to a variety of different practices. Also their customer service is excellent, as well as their tutorial videos and they offer training one on one.

Cons

There are some things that could be improved on the software, but they are always improving and upgrading the software.

Will continue billing though Practice Mate, we love it for our office...gets claims our fast and payment to us fast

Pros

How everything can be saved for billing and makes it go so much smoother, easy to add patients and easy to submit claims. Claims are processed very quickly!

Cons

Sometimes the billing shows a claim went successfully through, but then the insurance claim will say they never received a claim for a particular date of service. Has happened a lot.

Highly Recommend!

It was easy to set up and it's been a breeze to use. Any time I need help I am able to get a person on the phone in no time.

Pros

I've been using Practice Mate for many years, since I quit paying somebody to do my billing for me. It keeps track of everything

Cons

18+ year user and still loving it

As the heading states, I am a user for 18+ years. I have grown with the improvements of Practice Mate. They have been a consistently great company. The only people I have seen or heard complain are those that tend to complain no matter what. Whereas I can see the value of a good product and respect the fact that technology has its ups and downs all around.

Pros

Office Ally's Practice Mate is comprised of professionals that care about the end user, the medical professional and billing staff. They constantly evaluate its effectiveness and aim towards complete satisfaction. It is a cost effective way to submit claims, obtain claims status and reconcile accounts for the small medical practices that I work with. Customer service assistance utilizes remote access to better understand questions and concerns.

Cons

I really don't have any complaints or cons. It would be a typical issue that any product could have, occasional slow server, down for system maintenance, etc. Nothing that is disruptive to my workflow. I use it for a solid 40 hours per week, if not more.

The Practice Mate

It is easy to use though some feature need upgrading/updating

Pros

The Practice is easy to use and set up with systematic steps. the software does need some upgrading. The main upgrade any changes made to the information should update information in Patient Appt schedule, patient visit and claims. Thins does not happen and one has to go to each tab manually and update on each form.

Cons

When you are working on a patient it switched the screen back rather than let you stay on the same patient until you are done with all the work you need to do. The other feature that does not work is when insurance payers retract the monies it is difficult to post the shortfall in an easy and systematic way.

My Seven Year Affair with Office Ally and Practice Mate

Pros

This program is easy to use. I consider myself a ludite and yet I was able to figure out how to use Practice Mate with only one tutorial. I am sure I do not utilize all of the features available to me but they are there if I hit a snag with my practice. Plus the technical team is available and responsive without going through a long phone menu or wait. They are also fast and efficient with claim submission. Always grateful for that!

Cons

I used OA and Practice Mate at a couple of clinics before I started my own practice so was already familiar with it. That was back when it was free to providers. Ahem!It pretty well defined how I was going to set up booking and billing for my practice and was my first choice of all the programs I had had to learn during the course of my 25 year career. I wasn't surprised when they began to charge and feel it is a reasonable fee considering I can input for 15 minutes at the end of my day and leave all the rest to them. I truly do not have anything negative to say about PM.

I've used Office Ally for over 10 years, and in the early years it has worked very well for me, however, if I knew what I know about Office Ally now, I would not have started using it.

Cons

In the last several years, there have been more mistakes made by practice mate, claims that appear to have been submitted that were not. Fortunately, the Office Ally Tech support is usually very helpful when I call them, although in this case of some claims not going through, that issue has still not been resolved. Perfect Practice Management for small private practices

I depend on Practice Mate and talk with new clinicians starting their own private practices about using it. It is easy to use and dependable. I like that I can call or email customer support and they get back to me.

Pros

I've been a user of Practice Mate since 2007 and have never felt a need to explore other services. It gives me just what I need, scheduling, electronic claims submission, and allocating payments from patients and insurance companies so I can keep my finances straight. I have access to all this for no (or occasionally minimal) additional cost.

Cons

After 16 years the interface could use an update. But it still works and at least I haven't had to learn a new interface. I have not appreciated how they partnered with payment systems and then pressured me into buying the then-current system, but this has not been an issue for the last year or so.

Pros and Cons of using Practice Mate

I really appreciate the customer service experience! I get questions answered or assistance when needed without having to go through a lot of automated prompts! There is nothing like being able to talk to another human being to help solve whatever problem I may be having!!

Pros

Prior to 2020, I found all of the features to be very beneficial to my practice. Since the retirement of my office manager and the onset of COVID, I now have a third-party company that handles insurance verification, billing, and payment for me, which allows me more time for patient care.

Cons

Many times, when patients are completing the new patient paperwork through Patient Ally, they are not able to complete the HIPAA Compliant form. I'm told there is a glitch in the system that IT is working on, but to date, it hasn't been corrected. This means I have to send that particular form to the patient for signature and then add it to their file, which is not convenient.

Practice Mate is Great!

Excellent experience -no problems that I can think of -super affordable for providers.

Pros

Work flow makes sense, easy to pull up and filter specific information on demand. Super easy adding a new patient and CPT/ICD10 base template awesome! Fast and easy to create and submit claims. ERAs awesome for payment posting. Interface with Office Ally clearinghouse is seamless and never fails me. Easy to add new rendering providers, billing providers, facilities, payors, etc. OA/PM customer service is awesome; timely and dependable -and they always face my issue head on, then fix it.

Cons

Some of the canned reports don't seem to work. I would like to be able to create/tailor reports to my liking, i.e. pull up exactly what data I want, and/or to be able to run whatever my providers want, with the details they want/need.
