Great for a self-managed HOA/POA

My experience with Payhoa has been really good. The staff is fabulous about getting back to me promptly when I have questions or am confused about a feature. Payhoa has saved our small community thousands of dollars annually and allowed us to be full self-managed. I think it's an easy site to get around, but suggest you contact Payhoa for a tutorial if you are new to the site. I should have done that immediately.

Pros

The software is user friendly, once you get working on it. The ability of our community owners to make requests of our various committees and the Board is invaluable. The accounting being linked to our bank makes end of moth reconciliations fast and easy. The "reports" section is great for overall info that I put into our Documents so our community can see where their money is being spent. It makes it all transparent. We are a small POA and were spending $10,000 a year on outside management. Saving thousands a year now allows us to spread our modest dues further on the amenities that make our community unique.

Cons

We change Board members every 2 years, which is a bit tough in the accounting department. I got us a bit messed up in the transactions section when I first started as there is a learning curve, and the previous Treasurer had only 6 months to work with the Payhoa staff to get everything imported from outside accounts and set up and running as smoothly as possible when I took over.

Property Management Made Easy

As a first time property manager a few years ago I was looking for a software that was simple with lots of great benefits. Pay HOA checked all of the boxes I was looking for - easy accounting & reporting, online payments, homeowner database, easy invoicing, budget creation and so much more. I love that HOA board members can be granted access to view reports and budgets.

Pros

I like how I can streamline HOA dues with their associate fees. It then is put on autopilot and sends out monthly invoices as well as late fees if applicable. I can create an entire years worth of invoices and PayHOA takes care of the rest.

Cons

I wish the website feature was less expensive. Having a property website linked to PayHOA would be amazing, but once again costs are the reason for not integrating a current site.

Good for basic property management, not good for accounting

We have a small HOA that is self-managed, needed a platform to manage online payments, online communications, and other tasks. PayHOA fulfills basic functions like online payments, online communications, and online notifications. But the accountings features are not very good, I had to build my own xcel tracking to verify our income vs. expenses for taxes and audits--couldn't rely on the platform to give us accurate reports.

Pros

The online payment feature is great. Online communications features are also great.

Cons

The accounting software built into the platform is horrible. We have to do yearly taxes and audits for our HOA. When I tried to pull the yearly financial reports from PayHOA, I often found multiple errors in the transactions. Experimented with multiple ways to pull the financial info from the system, but none of it was very accurate. Had to build my own xcel tracking to confirm our income vs. expenses.

Why oue HOA Board of Directors is Impressed with PayHOA

We have realized a large monthly savings by switching to PayHOA. Besides the monetary savings, it has saved us from so many headaches! It seems to work all on its' own once you set up parameters.

Pros

There are two things that come to mind first and foremost about this application. First, it has an long list of capabilities (probably most of which we are not using YET) which will make our Accounting and Neighborhood Management system a quick & easy process saving time, money & effort. Secondly, as we worked to set up this program, it was very user-friendly and when we had questions and needed human help, it was super easy to get someone on the line and your CS team members are smart, know the program well and seemed eager to help!

Cons

Well, so far there is nothing to like least about PayHOA!! We are still learning the vast capabilities of this app so don't use all that's available to us but so far, this is wonderful!

HOA Review of PayHOA

PayHOA solved our work order issue with a system that allows owners to submit a work order and allows the users to track them.

Pros

I was looking for a software that incorporated work orders, accounting, communication and maintenance tracking. PayHOA offered all of these features. The software is easy to set up, although it could use more customization options. It is more than sufficient for what we need. Homeowners can pay their fees online and it is deposited directly to the bank.

Cons

It could use more customization as well as an area where admin could store owner documents and information internally.

PayHOA is perfect for our 400+ member POA

We moved all of our accounting from another software product and all of our members' records from Access to PayHOA. The support I have gotten from the folks at PayHOA is hands down the best product support I have ever had with any other company, and I am an IT person. They answer questions promptly, help with any issues, and we have had very few issues. I couldn't be happier!

Pros

I really like having the accounting and records management all in one place. I really like that I can use PayHOA services to mail the annual invoices. It saves me hours and hours of time.

Cons

One thing I would like added is the ability to query the data, like you would an SQL database.

PayHOA is a great product, but could use some more tweaking

Overall the payHOA system works very well and is easy to navigate. I have made use of it for over two years now and homeowners seem to like it as well. My community is small and we have not made full use of some of the features, but I am glad they are there to use when the time comes that we do use the features

Pros

It is easy to navigate around the website, and its intuitive so I can give someone admin access to the site and within a few hours they have a pretty good feel for the site. This makes any training needed for more specific things easier to do and get through.

Cons

The Invoice system still needs some work. Would like a way to filter out late fee separately from normal Invoices. It would help to also have a quick way to see the houses that are late on paying dues on the main dashboard. I also feel the site permissions need to be flushed out a bit more. I would like to assign mass permissions to most but would prefer to filter out specific people. It would be nice to see a way to drop specific home owners into groups and then be able to assign or remove permissions on those groups

Pleased with this product

It's been a great experience, reducing labor time and making communication with residents more efficient.

Pros

Account tracking for each resident, overall transactions and budget reports have been most helpful for me as the treasurer. I used to spend hours to days trying to maintain this type of info. Now it is so much easier to maintain in minutes on a regular basis!

Cons

If some of the budget reports had the option to make more concise it would be helpful.

Great for Self Managed HOA's

I am the president of our HOA for about 65 homes and we recently decided to move to a self managed HOA. I participated in free trials for almost every major product available on Capterra. Without a doubt, PayHOA's interface was the easiest to learn and sell to the other board members. We have identified a few bugs in the system, but working with support has been a breeze in getting them fixed. It...

The financial tools and reporting requires some work. I'm sure our Bank's outdated online banking system is a big factor in this. There are also many free online tools that can help cover any ground that this tool misses. I also feel that the online payment fees are not competitive either. It would be nice if there was a way to link your banks system to this to avoid these charges...

Pros

We selected PayHOA for management of our small HOA in an active adult community. Since our residents are all seniors, it was important that the interface was easy to use and the PayHOA system gives us that. The ability to have our residents see their accounts, submit requests for maintenance, landscape or architectural changes, make payments online is great. On the administrative side, our Board can send out broadcast emails, create surveys, create invoices and respond to requests easily. The support we have received throughout our set-up and release has been stellar.

Cons

The accounting reporting side of the PayHOA system has a couple issues, but again the support we have received has been great.

Overall great. I wish there was a phone number to call for customer service. They never answer. Only way to contact is through email. Response yikes are typically quick it sometimes issues can take 5+ biz days to resolve.

Sometimes feels like a beta version of software was released before the final product was perfected.

Decent option for managing an HOA

Overall, PayHOA is a good low cost option for small HOAs that are managing the HOA without assistance of a property manager.

Pros

PayHOA makes it easy to manage and maintain HOA membership, ownership, and communications. It also provides an easy location to upload, manage, and maintain documents making paper files a thing of the past and making it easy for the membership to access documents relevant to the HOA.

Cons

It's not as easy to export certain data as I'd like it to be -- sometimes I need to manually build out information because I can't include it in an export (like permissions and tags), and finding how to export data is less intuitive than it could be.

Cons

Needs more options in reports, like emailing vendors from the portal or adding custom fields to email or reports. Takes a while to get a change implemented.

Great software for managing HOA finances and tracking dues.

Overall we like the software and will continue to use it, assuming they do not do to many price hikes.

Pros

We like how easy it is to track dues for our HOA members. The automated email reminders when people are late has helped us keep properties paid up and on time.

Cons

Setup and the band integration were a little rocky. Ultimately we removed the automatic link between our back and PayHOA. I don't think it was so much PayHOAs issues as it was our back. We opted for a manual method, every month we just reconcile the accounts which doesn't take much effort.

HOA Management Simplified

My initial experience with PayHOA was a little challenging but I quickly caught on to how everything functions. Some Board members wanted to engage another more established company but the cost and support from the large corporate firms can't compare with the support from PayHOA. This was the best choice for my 300 unit HOA community. I'm so pleased that I paid for the full year with a discount.

Pros

PayHOA was free to setup and use for the initial 30 days. The software team was readily available with 24 hours notice to link up and explain any functions. I had a few enhancement requests that were implemented within a few hours. The PayHOA team always responds to my email requests within 24 hours and they are available to work with me on my schedule. I couldn't be more pleased with their service.

Cons

There is not a lot of draw back issues with PayHOA. I've been using the software for a few months and everything is going great. I did have some issues looking for the ability to print individual invoices as they don't appear on the owners unit menu. My software consultant was able to quickly show me where to find the PDF print function.

We definitely made the right choice!

The initial search for a system like this showed that they are very responsive to questions and they have continued that with any support requests. The ease of setting up owners/renters and tracking payments is a breeze. Highly recommend!

Pros

Being able to track the units as well as the owners and renters and offer online payment options was the reason we went on the hunt for a system like PayHOA. Being a small self-managed building we wanted something easy with options for further accounting needs as well as great support as needed and we found all that w/ PayHOA. It's easy to see where everything is and anytime we have a question we receive a quick response. Super helpful and really simple to implement.

Cons

While there are many features we don't use, the only con is really the ability to have more robust accounting, allowing us to setup vendors to invoice and have them pay us without the need to create a fake unit for them. Google/Apple Pay are also tenant requests that aren't available at this time.

My overall experience has been Amazing. PAYHOA offers great value, wonderful customer service, and support, and the overall ease of use makes this a no-brainer. I did vast amounts of research for Community Management software and we are very pleased we selected PAYHOA. We plan to use them for a long time to come. Pros

The ease of use and the ability to efficiently communicate to residents of an HOA. This software has made managing an HOA so much easier for us. You get great, personalized service and speedy responses to all of your questions. You never feel like you are left alone to figure it out by yourself.[SENSITIVE CONTENT HIDDEN] has made this system much less intimidating by being there every step of the way to help if we have questions. People like her make this software worth it!

Cons

This is seldom a problem, but I have noticed that the system can run slow on certain days. I feel like the violation process could be streamlined as well if there was a mobile version so you could record violations in real-time while out on inspections. It would be great to be able to upload photos instantly.

Self-Directed HOA

PayHOA has been a wonderful experience. Our small association of under 50 homes has been relieved of rising homeowner dues and has actually been able to offer all of our homeowners free trash service as a result of these savings.

Pros

Ease of use. Accounting capabilities. Set up of violation as template fir multiple use. Every transaction entry has ability to upload proof documents.

Cons

I admit it was scary going to self-directing HOA from a continual full service property management group, but there were no Cons to consider with PayHOA.

PayHOA is a game changer

PayHOA is the best money our association has spent. The staff and technical support is unmatched to any service I have paid for in the past. This software has enabled our board to go nearly paper free and allows us to keep reference materials in one spot for future boards to review.

Pros

The ease of tracking expenses and income; creating and printing financial statements for member meetings and our year end accounting needs; the ease of providing group emails to members; and the ability to store files for member viewing (minutes, rules/regs) and board of director use (quotes on projects) in one place is a great benefit.

Cons

Tracking capital expense projects. It would be nice to better track the payoff of a loan.

Pay HOA has the perfect mix of tools for any HOA

So far, PayHOA has been stellar since we've implemented it. It has only gotten better as time goes by.

Pros

We were looking for a system that could track most HOA member's dues and be able to automatically bill, notify and assess late fees as required. PayHOA makes this very easy and streamlined. We have far less billing issues and spend almost no time on it versus doing manual checks or deposits to our HOA checking account from the members.

Cons

Most of the issues revolve around contacting tenants of owned properties. It's not super clear to be able to make a sub-contact group of owners / renters so that notifications about local happenings such as street cleanings, etc can be communicated to the people that actually live at the residences.

Cost effective association management and great customer service

After a short learning period, the application is fairly intuitive to use. It has helped facilitate greatly improved communication with our owners - which is essential for a self-managing association. We recently transitioned over to using PayHOA bookkeeping services, and the customer service was top notch - shout out to [sensitive content hidden]! By using their staff, you gain their expertise with the system.

Cons

Snail mail batch mailings seem to take longer than expected, but that might be a post office thing...

Pros

We love this software! Built to do everything in one place. Communication, account management, accounting, document storage, budget management, viewing units, classifying property, you name it! If it doesn't do it yet, the developer is working on it. We've been using it a little over 6 months and in that time there have been updates, changes to the layout to improve it, accounting capabilities it didn't...

Cons

The accounting portion of the software isn't as robust as the rest, but they're working on it! It's a young company and we believe in them. They'll get it done and done right!

The one-stop shopping type of product. Do not have to use other tools

Cons

Dealing with accounts in collections.When an account is in collections, there is no easy way, there is a way but not ideal, to prevent that account from paying via the porta which can cause issues with teh collection agency

Best Customer Support Ever!

Our overall experience with PayHOA has been great. They are very supportive, and are always open to hearing our suggestions. Utilizing PayHOA has saved our small HOA over $3K this year alone.

Pros

Our small HOA decided to become self-managed in late 2021. After lots of research, we decided to go with PayHOA, and I am so glad we did! While our initial data entry was a little difficult due to my lack of an accounting background, the customer support team was awesome. They spent so much time answering my questions and helping correct my mistakes. They were always cheerful, helpful, and caring. I could not have made it through without their ongoing, constant help. [SENSITIVE CONTENT] were two of the support team I dealt with most, but the entire team was outstanding. For this reason alone I would especially recommend PayHOA for a volunteer group such as ours with little to no accounting background.

Cons

There were no clear-cut instructions on what should be entered first, which caused me some double work. However, for someone with a background in accounting, this would probably be apparent and not be a problem.
