eSpace is the event management solution we needed

Overall it's been a very positive experience. We were looking for something to fix a difficult software experience that our users were facing and eSpace has knocked it out of the park. The initial call we completed with eSpace was incredibly helpful and the pricing also made it a no-brainer for us. Very happy we've made the switch.

Pros

I liked that the developers really thought through the event management process from beginning to end and were very thorough. It's hard to find a system that fits our workflow and the features in eSpace fit almost exactly what we were looking for.

Cons

Lack of SSO, some information is not accessible in the API, some permissions quirks.

Great work order and event management functionality.

Pros

The software has a low learning curve and is intuitive. Customer service is responsive and helpful. Work orders can be submitted without a login. Work orders can contain custom forms to aid in more complex or unique requests. eSpace has mobile apps for iOS and Android (most work order systems rely on mobile webpages too much). Great modules to support assets ("Equipment"), inventory, and recurring...

Cons

The software is lacking some advanced functionality. There is some give and take to have an event management system and work order system tied together in one system. The list of rooms/spaces is truly a mess (very clunky to navigate, constant issues with users selecting multiple rooms by accident because it is not remotely intuitive). The Android app is slow to load work orders (seems to be due to the app attempting to load rooms/spaces). Customer service is responsive, but always tells you to go vote on features rather than giving timelines. Voting on a potential cool new feature is perfectly fine, but having to vote on critical functionality is simply an annoyance.

Great Product for growing campus

Pros

The amount of features and integrations that are available are quite vast. While the software works well for smaller uses, as our campus continues to grow I'm really coming to love and appreciate the huge amount of options that are available for use. Also, the customer service is absolutely top notch. You can get ahold of someone at almost anytime, and they are always happy to help. They are also actively prowling their suggestion board and adding in user requests.

Cons

The only thing I dislike about this software is the limitations placed on the different levels of the software. I find myself needing 1 small element of a higher priced tier, but not willing to pay the price to upgrade because I won't use the rest of those features.

We use eSpace at our church to help our Facilities personnel keep track of a variety of tasks.

Pros

We greatly value eSpace's capability to provide a readily available mobile interface for our Facilities personnel to access and use for work orders, from event setups to repairs and everything in between. The eSpace app has allowed us to move away from using paper notes on clipboards to an entirely digital system that we can use to track work order completion, as well as time of completion and who completed it.

Cons

eSpace's interface can at times be messy, cluttered, and a little difficult to navigate. Some of our employees have expressed that the mobile app lacks certain features to make navigating it easy and intuitive. Despite these issues, however, eSpace has been very communicative and helpful, and are always implementing features that greatly assist with problems that arise.

Very helpful software at a very reasonable price.

I am able to reserve rooms efficiently and I'm able to publish that information on my web site. I am also able to pull reports. I love that I can download the emails of my room users so that I can communicate with them if necessary.

Pros

It allows me to reserve spaces easily and inexpensively. I can email messages within the reservation to communicate with the person who made the reservation.

Cons

I am unable to connect it to billing somehow. That would be ideal. The communications aspect is a little primitive. I am able to communicate within the reservation summary, but I am not able to easily copy others in the organization so they too have a copy of the approved reservation.

Overall A Good Program

Customer service with eSPACE is outstanding! Always quick, courteous and professional and they are willing to consider, and implement if possible, any changes/additions to the program that may help it function better for you. That alone is worth the cost of the program.

Pros

This program has been a great help in coordinating the usage of the facilities on our campus. We were able to configure it to specifically work for our facilities, equipment and set up. My role is specifically in event set up and tear down and I find this program a very useful tool in coordinating and planning these tasks.

Cons

It took me a little more time to get to know the program and feel comfortable with it, but that is probably due to the fact that I did not need to utilize it on a daily basis. The one draw back for me was that some pertinent information did not crossover to my iPad as it appeared in the computer.

easy to work with customization meets needs better than other programs we have tried app!

Pros

I love the new app and how you can customize it to your needs. It has been really great to work to make sure each area has a focus in our classroom space

Cons

It takes a learning curve to really learn how to use it to its potential. I am not sure about cost because I do not see how much it runs.

eSpace is a great tool for churches!

I love working with eSpace. The staff are great. I do recommend them for any church needed to schedule and maintain their facilities.

Pros

One of the things I like best about eSpace is they are continually updating the system. I like the HVAC integration with wireless thermostats the money that will save us after recovering the cost of the thermostats. I also like the workorder management feature. This is helping our maintenance department tremendously.

Cons

Reporting is limited and not very useful. I'd like to see a lot of effort put in to make the reports better. I also like the app, but it is difficult to sort and filter data in a way that makes it useful.

espace has just enough functionality without being overwhelming in function. We love it.

Organization of all the things we need to do.

Pros

Ease of function to do basic work order management. It's price is affordable too for a small organization. It is also flexible enough that you can manage not just facilities but also other parts of the operation. We even use it some for our livestock management.

Cons

Some of the notification email stuff is not as configurable as we would like (localizing who receives the emails).

The biggest pro which is an influencer for most companies is the price point this falls in, you get a lot of bang for the buck with this product. -Good Customer Service -Easy for admins to master

Cons

I wish there was more workflows and automation out of the box with this product. This solution is mostly prebuilt and set up for use.

espace Facility maintenance

I have really been happy with espace and it has worked great for a medium size church like ours. We can also grow into this even more. This has allowed us to track items better and setup annual maintenance very well. Plus allowing anyone to submit a work order.

Pros

The capabilities and features are just what we needed. We did not need a expensive powerful application that you could go to Mars on. I like the support area where you can give improvement suggestions

Cons

It still has some growing. I it could use some improvements in the reports area. But the export options help out there.

Price and value. Mostly easy to use. Like the online access from any computer. Easy to print multiple calendars.

Cons

Difficult to create custom recurrences at multiple times. This feature is slowly improving with new updates. The app is weak.

Pros

eSpace is very user friendly but also feature rich - just the combination you want. However, it's their customer service and support where they really shine. The company has literally added at least a half dozen features just based on our suggestions and needs. Not only have these features been added, but sometimes they were added in only a week. I found a couple bugs in the software and each time the problems were fixed by the next day. I've never experienced support at this level before. And all of this along with a very reasonable cost!

Cons

There are still some searching and reporting features that the product really needs. The developer is aware of these feature requests and I am confident that they are looking into adding these features in an upcoming version.

Thought bout using it with our wireless thermostats but theirs were too expensive. Liked the integration possibilities

The calendar module was quite comprehensive.

Cons

It sometimes took quite a while to get an event I putted nd then formatted correctly.

Great and affordable tool to keep the details straight

eSpace has allowed our organization to have a real-time calendar that everyone can easily reference when preparing for and booking spaces anywhere on our campus. And the mobile app is incredibly helpful with this!

Pros

eSpace offers an organization customization options that allow us to speak our language and also make sure that all the necessary details are communicated organization-wide.

Cons

I wish there were a way to still submit a request, even with a conflict showing ... so that once the conflict is solved, the even request could automatically show up in the calendar.

Espace is a fantastic, user-friendly facility management software system! The customer service is outstanding. When our staff has a question or a predicament, the Cool Solutions staff are responsive and available. They really value customer feedback and are always looking for ways to improve things. We have been very pleased!

Easy and Cost Effective
