Amazing Property Manager for Small-to-Medium Companies

The biggest issue my company had was advertising vacancies. We were relying on walk-in tenants, which has not been a good source for 5-10 years. AppFolio is one-click to post to multiple free websites and syncs with Apartments.com if your company goes that route. Ease of use and great training/help files will keep us with them for years to come.

Pros

First and foremost, the value of the product. You get everything you need for cheaper than most of the other products out there. For my company, we transitioned from Buildium to AppFolio and instantly reaped the rewards. AppFolio provided us with an inexpensive company website, a quick and easy tool to post our vacancies to multiple websites, and great assistance during set-up.

Cons

I know some of the more expensive options offer more competitive pricing tools and a little more automation. Also, AppFolio had a few issues (like maintenance personnel not being able to see pictures on work orders using their mobile devices) that took AppFolio a while to start addressing.

HOA Association Management

I think appfolio is a great property management software. The price is competitive with doorloop which I feel is its closet rival. As a property manager, I want to be able to run my properties with ease, and from home and appfolio makes that possible for me. I highly recommend it for all types of property management whether it's a few homes or a whole association.

Pros

What I enjoyed most about appfolio is how many features they had to assist with managing an HOA community. They have a cool feature most don't that allows the renter of the condo to also have a portal and login to take care of fees and dues. it helps us know who is an owner or a renter. that one simple feature makes things so much easier for myself and the board.

Cons

The ACH fees applied when paying online was something we received a lot of negative feedback about. Other companies charge around the same so it's not uncommon but they do offer no fees if you go with premium. Unforchatly premium is more expensive and we didn't need all of the extra features it comes with so it really wasn't worth it for us to pay more monthly. I wish appfolio could come up with a custom package where you pay for each feature that works best for you. Every property is different and it might make things more affordable and easier for property managers

Must Have

This makes my job a lot easier. AppFolio is always innovating and coming out with new improvements. I enjoy using it for it's ease of use for us as property managers as well as for the tenants.

Pros

I don't know how we ever functioned without our tenants having the ability to make payments online or place maintenance requests online, truly a game changer. Texting the tenants is also more useful than I would have expected. I also have found the resident forms very helpful, however, I wish we had the option for more tenant signatures because we have properties with up to to 28 tenants.

Cons

I would like the tenants to be able to see notes for closed work orders. Tenants have to call in to ask questions about closed work orders. I would like more customizable bulk actions like: Changing pricing/descriptions for multiple addresses or at least multiple units at the same time. Right now, we have about 1500 units. When we change pricing it is very time consuming and requires a team dedicated to changing those. Deleting tenant portals for tenants of a unit all at the same time. To individually delete each tenant portal when a unit moves out and then opt them out of the tenant portal so they don't get future emails is very time consuming.

The one stop App.

Overall I give this that the 10 because it's all One stop shop you don't have to have a bunch of different apps to do anything you just so you can handle everything that has to do with the complex maintenance rent application it's amazing.

Pros

The features that I like most is you have payment internet portal. You can also do your maintenance request and access any of your online documents like your lease. They even have an application inside for you to get renters insurance set up.

Cons

I dislike the fact that it cost $10 to process your payment by debit or credit card that's excessive I think.

Appfolio Property Management Review

Overall, we were expecting to achieve more efficient reporting results that would help us present better information and financials to our Board members. This backfired on us. However, end users (owners and tenants) seem to be happy with their online portal experience. They have sent us good reviews on the way we've made it simpler for them to pay their dues/rents which has resulted in lower ageing receivables.

Pros

I value that unlike many other Property Management programs, Appfolio does not integrate with many 3rd party platforms. 3rd party platforms can adversely affect the overall user experience of your clients; furthermore, the service Company with whom you signed the contract, can't control the quality of service of the 3rd party. So basically, your software company might be selling you a service that they have little control over. Invoice payment is great. It has saved us a lot of time from our previous program. I also really like the communications function.

Cons

Customer Service. Once you are enrolled, you are on your own. Although Appfolio claims that have great online training videos, we all know these are too generic, and real life situations are not generic. It is also impossible to get reliable over the phone support. It takes a support agent about 2 days to get back with you (if they ever do) Once you have them on the phone, they are not sufficiently trained to answer many questions regarding anything from reporting to accounting to program usage. This is a BIG con. We also don't like the fact that we are unable to receive over the phone payments

Appfolio: An Overall Property Management Solution

Appfolio definitely makes up for any short comings with their innovation and user friendly interface. We like their attention to detail and their progressive attitude towards the future of online property management solutions. I've used other property management systems in the past and they all have significant downsides, whether lacking in their online integration, being too complicated, overkill or some other glaring issue. We like and have grown to depend on Appfolio. Even with it's slight flaws, which are minimal, but hey, no online property management software is perfect.

Pros

We love the ease of use, flow of the interface, and the online integration, the cost is inline with other comparable software, so you definitely get what you pay for. We wish we could make use of all of the features the software has to offer, as there is so much to choose from. Their customer services is upstanding, and we make good use of the 24 hour tenant maintenance support line. We've used Appfolio for 6 years now, and so far we've had a good experience.

Cons

The cons while important are minimal. We face underlying program issues, such as with rent charges. The system is set up for 1st of the month rent charges ONLY, but we have different rent due dates ranging from the 1st to the 15th. This causes havoc for us as some tenants with due dates other than the 1st get charged twice in the longer months. We have to pay them back and it can be very frustrating...

Great Initially but Caters to Larger Companies Now

My overall experience has been generally positive however I wish they would offer the same features and services to all of their clients regardless of their portfolio size. If you already have the technology available and a cost structure in place to offer these services, I don't see how portfolio size matters. Overall, it's a good product but they're starting to nickel and dime customers for services previously included in the monthly subscription prices. They're also releasing a lot of cool new tools such as the artificial intelligence assistance however you should verify that you're going to be able to access all of the tools you want to before signing up as you might discover that you don't meet their minimum portfolio size to take advantage of such features.

Pros

I love how easy it is to use and that it's got everything integrated from inspections to maintenance to accounting to contract management. It also posts my listings to a bunch of websites automatically.

Cons

It was initially a perfect fit for our company. We wanted our website and property management software integrated and we loved the features such as the tenant portal etc. In the past couple of years, it seems that they are gearing themselves more toward large companies (1000+ units) as they are only making certain features available to their larger clients (i.e. Lisa AI / artificial intelligence secretary)...

Requested Features Still Have Not Been Added

The software does a very good job, I fee like they could make some changes to make it a little more customizable and it could be great!

Pros

The accounting is the most robust I have found and do like most of those features.

Cons

I am still unable to text all my tenants at once for emergency situations, this has been requested for years now by hundreds of managers along with myself and its obvious that Appfolio does not listen to most requests no matter how many people have asked for it. I also do not like that I cannot use an outside screening source and the very high cost to screen through appfolio. I also do not like the high cost of a website.

Appfolio adds so much value to the services we provide to our HOA clients. We wouldn't want to do business without it.

Pros

Appfolio is so easy to use, both for us as managers and for homeowners using the portal. Appfolio has spent a great deal of time figuring out which features are the most beneficial and perfecting those features.

Cons

There are a few very minor technical things but I am sure they will get fixed as Appfolio is constantly making improvements.

Very Nice Property Management Solution

I have used Appfolio as a maintenance technician, property manager and now accountant for the whole portfolio and I have had a pretty easy time with it every step of the way. I would recommend to at least give it a try before selecting another software.

Pros

Easy to use for users of all skill and job levels. Makes tracking Receivables and Payables very simple. Constantly being updated and enhanced with new features at no new cost (some do cost but the majority are free updates) Customer support is always quick to help and respond. I feel like I get the same support agent 95% of the time, which makes it feel comfortable and like a working relationship rather than some random customer support person every time.

Cons

Some of the editing and finer tuning options are lacking. (Example: not being able to rearrange line items on a bill or journal entry. You can only delete or add new to the bottom, no editing between without having to manually redo everything from the edit down.)

Promas to Appfolio - The Great Journey

As I said, onboarding was difficult. That was mainly due to how our dated was stored on our end and turnover we experienced during the transition. The service is amazing, and I can't imagine not having Appfolio.

Pros

Switching from Promas to Appfolio would be like switching from mailing a letter to emailing a letter. The service is faster, more reliable, easier to do, takes less time, is more efficient. My list could go on and on. The main features that caught our eye were the ability to accept rent payments online for seamless accounts receivable from tenants, and online maintenance requests. For so long, we would take maintenance requests by phone or email. It was unreliable at best. Having this online feature gives us a smooth workflow from work order submission to mailing a check for work completed. Truly, Appfolio has saved our office countless hours! Oh and the customer service is awesome! I love how quickly we get responses with actual answers to our questions that solve our problems!

Cons

The onboarding was very tedious. Our Promas software was housed on an internal server at our office. That is the primary reason our transition was not that smooth to start off. Overall, we don't have many complaints. Of course, we all want cheaper software, but you get what you pay for. There are a few tweaks we have requested that Appfolio has implemented, and they continuously have updates and new features. It's really exciting! I do wish our owners could see live feed of their account balances in their portal and run their own reports as they wish.

#1 single-family residential PM software

Our experience with Appfolio has been great! It has created efficiencies within our single-family division that didn’t exist previously. I’m optimistic that over time they will develop more features that will allow us to be even more efficient.

Pros

It’s robust yet easy to use, dependable, constantly evolving, their developers listen to their customer’s needs and if possible delivers, issues are handled quickly by their web based customer service team, and it’s affordable.

Cons

The layout of the property financial statements are subpar and difficult for our clients to understand; its not the best software choice to manage commercial or multi-family properties; it’s lack of customization

I love it! I found the Appfolio program did save me time with all parts of property management duties I have.

Pros

Once I learned the program, Appfolio made the job easier. The owner statements were easy for my owners to understand. Love the ability to upload copy of invoices to owner statements, so they could see my deductions if there were any on the given month. This saved me time from answering calls from owners that had questions about the owner statement. The online features made it easy for Owners & Tenants to see everything related to their property.

Cons

Being a very small company it was a little more expensive than other programs out there. The learning curve was a bit tuff, but Help was always there to assist me if needed.

Appfolio Saved Our Office

We have been able to increase our accounts without too much work overload due to the functionality of adding new properties/owners and the streamlined nature of the entire program. We could not have done it without Appfolio! Our implementation was extremely organized, and they kept us on track to make sure all deadlines were met to launch at our goal date. We've now been using Appfolio for 18 months and I have not had one major issue with functionality, customer service or anything else. I honestly could not be happier and feel I'm getting the best value and peace of mind all at once!

Pros

What I like the most about Appfolio..... that I can come into work daily and not stress about overall functionality of software. I know it's going to do what it needs to do, and if it doesn't, customer service will help me sort things out!

Cons

I cannot speak to this. I used a different program before Appfolio that was nothing short of a nightmare, so I am grateful for every bit of Appfolio from it's ease of use to it's nice, friendly design.

AppFolio - a well-rounded leasing and accounting software

Our property management company decided to use AppFolio when we brought all of our bookkeeping in house, taking it from a 3rd party bookkeeping company. At first, we were just looking for bookkeeping software, and AppFolio fit the bill in a reasonably priced package. We soon came to realize how many more features there were with AppFolio, at no additional cost, and how we can streamline much of our leasing process to save time and eliminate typos and duplication of effort. And we came to find out how AppFolio listens to its user and improves its product - "What's New" item pop up weekly or more often! We've made several suggestions ourselves, and now they're part of AppFolio functionality! We consider AppFolio our partner in helping us serve our investors and our tenants.

Pros

There are several things that I like about this software. I think the top of my list is that there is so much functionality related to apartment leasing/management that is all integrated - basic general ledger accounting, tenant accounts receivable, screening applicants, online leasing, attachment of invoices, statements, agreements, etc to appropriate pages in AppFolio, vendor payments, owner payments, 1099's, financial reporting, etc, and on top of that, it's an online platform available from any computer or mobile device, live and up-to-date for all users.

Cons

Currently my biggest frustration is RUBS for utilities. The feature is set up in such a manner that we are unable to use it because it allocates costs to anything considered a "unit" which for us includes non-residents who lease a parking space. I have made sure that top management and the development team at AppFolio are aware of this flaw in the functionality of this feature, so I'm hopeful there will be a resolution.

Appfolio - Completes the management package!

Appfolio has allowed for all of our management records, tracking etc; to be held in one very convenient location with peace of mind.

Pros

We use Appfolio daily, even when away from the office. Appfolio has continued to adapt to the ever changing technology and real estate fields. Our tenants have full access to their tenancy and are able to communicate to us through our system - not only expediting any tenant requests but also documenting for our records! A real time saver for us.

Cons

Many advances in the program have increased the cost of the service, or make the service unobtainable to us smaller companies because of the cost. It would also be very helpful if they offered a report writer, something that allows us to fully determine and create reports based on our needs and our management agreement. There are plenty of reports to choose from and customize, but in the end - they are still not the exact report that we desire.

I could not do the job I do today without AppFolio. There is no other property management software that integrates every aspect of the business. The customer service is the best I've encountered over the years. There is definitely a core value at the top management at AppFolio that filters down to everyone we interact with. Awesome company, awesome product.

Pros

Follows the flow process of property management. AppFolio easily allows me to complete the tasks for three employees. There are redundancies that prevent common and costly mistakes. Having an advertising module built in is fabulous. We only use AppFolio for advertising, The maintenance module continues to grow in functionality and the electronic Lease process reduces time and work required from our Leasing Agent.

Cons

IF I had to say something, I would say that changes for the sake of changes can be counterproductive. Just when I feel comfortable with a new feature or process, it changes. I think this is due to shift in mobility demands from the new generation moving into the work force and AppFolio has to meet these demands or become just another past property management software.

Appfolio continues to improve and bring value to the property management company as well as the tenant. Entirely web based, it includes many features that other software packages charge additional for. My company has been using it for 4+ years and it's been an integral component in our ability to grow rapidly. Highly recommended.

Cons

Appfolio is a closed eco-system, meaning they do not allow API's and outside developers to create third-party apps to improve the functionality of the software. This limits the ability for the software to improve exponentially with the help of 3rd party developers. This is a major drawback that they should reconsider.

Best Adaptive Software out there!

Our overall experience has been great! Our only bump was when they began migrating to more HOA users. HOA Owners can be pretty picky about simple wording and our ability to customize our product to their needs/wants.

Pros

What we LOVE most about this software is that we can be anywhere in the world and access out clients data allowing us to work from ANYWHERE! Appfolio constantly adds value to their software by listening to its users and programming the system accordingly. They are simply great and we wouldn't want to be with anyone else!

Cons

Sometimes the system can be somewhat hard to navigate. Additionally some steps are time consuming that require streamlining. Overall though, there are few cons to the product.

I am a loyal fan of AppFolio and have always wondered why more people don't seem to utilize it in my region. But if I had to pick something I like least about it, it might be that it does so many things I think no one will ever be an expert at it.

Easy to use platform powerful reporting

Great company and great product!

Pros

The ability to track all rents in real time and ease of use for both the property manager and tenant make this product amazing. The tenant portal makes paying rent super easy for the tenant and creates value for the property manager. The owners portal is a great place to display the owners financials and it can be accessed from any device. The websites that can be build out for each property or 1 to encompass the port folio is a really cool option. They constantly release new features that greatly improve the software, this is because they listen to your feedback.

Cons

One of the cons for me would be I wish they had someone to answer the phone when you called for support. They make you submit an email with a support ticket then they will respond back to you. They are pretty good about getting back to you right away and they will call you if you request to speak to someone. the only problem is if I get the call and I'm not in front of the computer.
