“Simplified note taking, paperless remote meetings and synching of information between remote devices in real-time has been extremely beneficial in being deployed in rapidly changing environments.”
DP

Dixon P.

VP Audit

“This is the most important function for us. I am able to upload the Board Packet into OnBoard and then send a notification to our Board when it is available so they can review the information prior to our monthly meetings. I love this system! I load this information as multiple documents and then can compile it into a Book. If we need to make any updates or modify our agenda, I do not have to redo the whole thing, I can simply update one or two document and then form the "Book" again and I am done. This is really helpful and time saving verses having to remake a whole Board Packet if we have to make any amendments to the meeting. ”
TA

Tammy A.

Administrative Assistant/Credentialing Specialist

“Our Board can easily access and review their upcoming meetings on the Dashboard. Additionally, they can add links to their personal calendars.”
KB

Kelly B.

Assistant Corporate Secretary

“Need instant access to meeting materials. Sometimes slow on uptake when needing to navigate quickly into the meeting or during the meeting. Have issues with building book successfully. Is not 100% reliable. ”
AN

Board Secretary

Member directory

Users find OnBoard's Member Directory helpful for updating and accessing contact information, managing board members, and organizing groups and permissions. They appreciate the customization of permissions and the ability to sort members by individual or group. Reviewers indicate that it is user-friendly and provides a visual representation of member roles and terms. They also value the easy access to personal and professional information, although some wish for more social media integration. Of the 26 OnBoard users who gave detailed accounts of their use of Member Directory, 96% rated this feature as important or highly important.

See related user reviews

“It's nice to have my member directory available to know who belongs to which group. It can be sorted by individual or by group and permission can be given to each person individually or by group.”
CS

Cherie S.

Executive Assistant to the President

“The customization of permissions is very important. I like the graphics on when board members terms end also. We used to do that in Excel”
PS

Paul S.

CEO

Document management

Reviewers highlight OnBoard's Document Management for centralizing and securing important documents like bylaws, budgets, and meeting materials. They appreciate the ability to organize, store, and search documents easily. Users report that it simplifies sharing and updating documents within agendas and resource folders. They find the security capabilities, such as remote device wiping, valuable. However, some users mention difficulties with large files and the need for better editing capabilities. Of the 45 OnBoard users who gave detailed accounts of their use of Document Management, 93% rated this feature as important or highly important.

See related user reviews

“I love the features and reporting metrics and it cuts down on me spending a lot of time trying to locate documents when I can streamline it all to one location under resources! Finding a better way to help board members locate information quickly without a lot of additional instructions! I also love the reports it generates with meeting attendance, meeting feedback, RSVP, etc... ”
CT

Cynthia T.

Executive Assistant

“Having the ability to move documents within the agenda and update them when needed is critical for a productive and successful meeting. Once a book is created, the packet can be put into a resource folder for future use.”
SK

Sandy K.

Executive Administrator

Access controls/permissions

Users appreciate OnBoard's Access Controls/Permissions for allowing granular control over document visibility and user access. They find it useful for setting permissions for different committees and ensuring secure communication. Reviewers report that it helps maintain order and accountability by restricting access to confidential information. However, some users find the process of setting permissions somewhat clunky and suggest improvements for managing new members' access to old reports. Of the 35 OnBoard users who gave detailed accounts of their use of Access Controls/Permissions, 91% rated this feature as important or highly important.

See related user reviews

“Having the ability to set permissions for each committee of our board is a great feature. This feature allows me to set permissions for our members to access specific resource files while keeping some confidential. ”
SW

Sheri W.

Administrative Assistant to the CEO

“Related info: OnBoard over-uses and mis-uses the word "Member." Throughout my adult life I have been familar with the term "board member." Not providing easy differentiation of types of users is no bueno. Creating Groups is a workaround to that issue, not a useful, permanent solution. Specific to Access Controls/Permission: This is a rather clunky process, but nonetheless useful and appreciated. It would be ideal if permission 'exceptions' could be used in subfolders that have already been assigned permissions. This would be a time saver for those instances when a large group was given permission to a specific folder but, in 'this instance' some individuals must be excluded from a specific subfolder.”
BN

Barbara N.

Executive Assistant to President/CEO

File sharing

Reviewers value OnBoard's File Sharing capabilities for enabling secure and efficient document sharing among board members. They appreciate the ease of uploading, organizing, and accessing files in one central location. Users report that it simplifies communication and collaboration, especially for meeting materials and board packets. They also mention the ability to limit download permissions and the convenience of having all important documents readily available. Some users note occasional difficulties with document interaction. Of the 45 OnBoard users who gave detailed accounts of their use of File Sharing, 91% rated this feature as important or highly important.

See related user reviews

“This is our communication tool with our Trustee Board, the file structure of this software allows us to share information incredibly easy. We often use the feature that allows us to limit access to users, it is very easy to set up, and we can change file access quickly for one or more members (or even the entire board) with the click of a few buttons.”
CL

Connie L.

Executive Coordinator Advancement

“The ability to share files using a secure site that provides permissions as well as access security is a huge part of our information security initiative with the board.”
MA

Miriam A.

Board Secretary

Calendar management

Users find OnBoard's Calendar Management helpful for organizing and scheduling meetings. They appreciate the integration with Outlook and the ability to send meeting invitations directly to calendars. Reviewers report that it keeps members informed and on task with reminders and easy access to meeting materials. They value the recent improvements to the calendar capability and the ability to manage multiple meetings and time zones. However, some users wish for better integration with MS Teams and an easier interface. Of the 29 OnBoard users who gave detailed accounts of their use of Calendar Management, 90% rated this feature as important or highly important.

When we migrated to Office 365, we opted to use Microsoft Teams for those who attend meetings remotely. Unfortunately, it's a manual process even though we have synced certain users accounts to OnBoard.

Q. Who are the typical users of OnBoard?

OnBoard has the following typical customers:
Freelancers, Large Enterprises, Mid Size Business, Non Profit, Public Administrations, Small Business

Q. What is OnBoard used for?

OnBoard unites agendas, materials, minutes, votes, approvals, and actions in one secure record. No PDFs or version sprawl, so directors prepare faster, and leaders decide with confidence. Prep time drops when everyone opens the same book, sees what changed since the last draft, and walks in ready to decide. Turn long board books into clear briefs with the AI Suite: draft minutes in minutes, summarize packets, highlight late edits, and answer questions - contained to your official record, not the open web. Directors review, annotate, and vote on any device, online or offline; chairs keep the discussion focused; committees move work forward between meetings. Publish one final board book, absorb late edits without rebuilds, and keep an audit-ready history. Executives assign actions, track approvals, and align decisions to strategy without spreadsheet gymnastics. Integrated messaging, e-signatures, surveys, Microsoft 365, and Zoom integrations cut app-switching and turn busywork into decisions. Keep sensitive work out of email with enterprise controls like SSO/MFA, role-based access, device and file permissions, and exportable audit logs. Data is hosted on Microsoft Azure with encryption in transit and at rest. Compliance frameworks include SOC 2 and ISO/IEC 27001; HIPAA-aligned controls support healthcare use cases; retention and legal hold policies protect books and records. Support how boards actually meet, whether it is mobile, remote, or hybrid, so every member stays aligned on any device. Directors who prefer PDFs stay comfortable; those who choose dashboards get a simple, organized view built for every skill level. Scale without complexity. Run multiple entities, committees, and calendars in parallel while maintaining least-privilege access and a single source of truth. A board portal trusted by 6,000+ organizations worldwide, boards choose clarity, speed, ease of use, and defensible records in OnBoard.
