How we picked the 3 top rated products

We chose the high-performing solutions on this list based on verified user ratings on our site. Depending on available data, qualifying products either had to be among the most user-reviewed or the most searched-for products in the employee communication tools software category. They also needed to have sufficient reviews about document management, have a minimum user rating of 3 out of 5 for that feature, and show evidence of U.S. market presence. We then added a distinction for the product with the highest rating for document management based on our proprietary ratings and reviews. Sponsorship or client status has no influence on the selection of these products, but it may impact the order in which products appear.

User insights about the document management feature

Reviewers appreciate BambooHR's document management capabilities for storing and organizing important employee documents such as contracts, certificates, and policy manuals. They find it easy to upload, distribute, and track documents, which is valuable for compliance and audit purposes. Users highlight the ability to convert PDFs to signable forms and the secure storage of documents. However, some users wish for better document visibility for smaller groups and improved storage of signed files from the onboarding process.
“We use BambooHR for all of our HR document management. From applicant tracking, to on-boarding new hires, ongoing workflow management for benefits & payroll, though exit interviews and off-boarding. The ability to take any PDF file and easily make it editable, store it in the system, and add custom routing /workflow through HR, Finance, and Executive approvals is excellent.”

User insights about the document management feature

Reviewers find Slack's document management useful for sharing and organizing documents within teams. They appreciate the integration with external applications like Google Drive, Dropbox, and Microsoft OneDrive, which facilitates document access and collaboration. Users mention the ease of sharing, pinning, and searching for documents. However, they note the lack of a centralized repository and more advanced organization features, which can make managing a large number of documents challenging. Some users prefer using other tools like Google Drive for better document management.
“We mainly use slack to quickly share a file and download it. But never use it for storing document. There is other good alternate to document management such as google drive which we prefer to use. Also, for free version of slack, there is a limit of how much message is stored and it deletes previous messages along with documents when the threshold is crossed. So, the document management system is not very efficient hence we use alternate option for that.”

“Slack allows to connect a lot of popular external applications, so it is really easy to preview and maintain documents from the communicator level. It is also possible to pin items to a channel or conversation, so accessing them is quick. However, there is no place to gather all documents, so if there are a lot of them - management can be problematic.”

Reviewers indicate that Zoom Workplace's document management allows for easy sharing of documents during meetings. They find it functional for real-time file transfer and appreciate the security provided through encryption. However, users note that it is not the best solution for comprehensive document management outside of meetings.
