 Great value CRM

I found Contactually as I upgraded my business's ATS. This is the perfect compliment, it ties in with Google email so anything I do in one system, shows up in the other. I've been looking for years and this is the first one that appealed to me for the features and the price.

Most critical review

 Mixed feelings

For me, the cost is too much for a system that I am not using to its full potential. In the process of trying to find another CRM, I've encountered plenty alternatives at less than 1/3 the cost. The inability of Support to identify and solve problems I had with the system is also a con. The only ...

Benefits

CRMs are powerful, but are often built for managing data, not actual human relationships. With Contactually, you get the power and business value of a CRM built into tools designed to connect you with real people, in a real way. Networks are about relationships, and relationships are about communication — Contactually helps you make communicate better, more consistently, and with real purpose.

No matter what you’re looking for from your relationships — sales, referrals, insight, or friendship — Contactually ensures that you’ll get more of it by making it easy to truly stay in touch with your most important connections.

Who is Contactually For?

Contactually can be used by many people of different occupations, roles and needs, but it is generally very effective when used by marketing departments of small to mid size companies, non-profit organizations and freelancers of all kinds.

These categories can greatly benefit from the software as it fully covers their special need to categorize collaborators, clients and contractors of different projects and companies, and then follow a certain automated actions list for that category.

Still Searching for the Perfect CRM

25/02/2017

I used this product for about a year. Before LinkedIn pulled their API, I found it to be very useful. After that time, it was not nearly as useful, but it does still integrate with Outlook which I found helpful.

Contactually - Pure Disappointment - Terrible Service - AVOID!!!

02/02/2017

THEY WANT YOU TO PAY TO BETA TEST THIS CRAP SOFTWARE From the moment I started using this software there were bugs, and issues that cost me time and money. The redeeming qualities were always outweighed by the issues I had. If you are a busy professional looking to find a CRM solution look elsewhere. All the time spent going through my contacts and putting them in buckets was a total waste of time. Even though they gave me a 25% discount I still decided not to stay on with them, but the software was so bad I put my account on hold. They now claim it has been improved since then, but I can't even get a straight answer on how to get my contact lists downloaded without paying for another month. I don't really need them, but had a new project I could have used. They also wont honor the discount they promised me for "life" in writing. I even opened the door for them to show me how much they improved but their customer service completely dropped the ball this time when I had a really simple issue that couldn't be resolved within weeks. How do I download my contacts without a paid account?

Pros

Basic features, Easy to use when it woks

Cons

Where do I start!? - Glitches that result in lost work - Poor CService, long time delays - Expensive for what it is - Features that really don't work smart, and make you work hard - Software designed to trap customers in their platform, and is stil in Beta - Total Time Waste

I tried to email outreach and better management of my leads. Great product, I love the bucket feature. Really handy to sort out your type of contact and manage your relationship. If you like to use email for outreach and manage your customer relationship, you will love it. It's really about emails.

Pros

Email oriented, the bucket workflow, the email template are very handy

Cons

It's great to manage your email and your customer & prospect relationship. But it lacks on other overall.

Full of Glitches, Bugs and Flaws

15/01/2017

We purchased the team version with high hopes, based on the previous reviews. Little did we know that this is an unfinished product. Too much to put in one review--suffice to say, this product is several Betas away from being close to ready. A total exercise in frustration if you have a large number of contacts. Several calls to support only showed the flaws are on the books and they are working on it. In the meantime, what a mess. I am going back to a CRM that has been tested thoroughly. The bucket system is a great idea--and the only part of the program I will praise highly. As for managing contacts-- it has been a disaster for us. I hate to be so negative, but as a long time user of Top Producer and Agent Office before that--this is not a good CRM for our team.

Pros

Bucket system, decent email templates

Cons

Import process, lack of features in contact management, does not refresh properly when making changes, freezes after too much use, only allows so much deleting and then stops working till later on--takes too long to get support

Great value CRM

14/12/2016

I found Contactually as I upgraded my business's ATS. This is the perfect compliment, it ties in with Google email so anything I do in one system, shows up in the other. I've been looking for years and this is the first one that appealed to me for the features and the price.

Pros

Ease of use, love the Contactually Chrome Addon that allows me to save articles for forwarding. I appears very personal when sending these to clients; the response rate was through the roof compared to regular emails.

Cons

I was disappointed by the 100% lack of follow through from the sales rep. Additionally, because I did the 30day trial using my old Gmail address, it is a mess to this day. Plus, for some reason, clients were duplicated and they still have not been able to fix it. So, use your account you'll be using from day one or do not do the trial.

Only use the same email address and account for the trial as you will be using if you purchase it. My clients and accounts were duplicated and it's difficult and time-consuming to clean up. The sales rep should have cautioned me to hold back setting everything up until I had the correct email address.

Just wasn't able to make it work...

I really wanted this to be the CRM for me. Just too high cost for the amount I was able to actually implement it successfully. Then with the mass batching of buckets being so difficult to solve the issue, i needed to move forward

Great for automation and tracking

08/12/2016

Contactually is the best CRM for business owners that want to track and automate lists of any size. They not only have email sending capabilities, but they track calls, texts, emails and manual notes as well. They integrate with all sorts of systems so that you can automate your business followup. Get some help to be most efficient, but it's easy to use right out of the box as well. I have service based clients that are 10K a year to 500K a year using this system and it's just what they need

Pros

Automation Included

Cons

Sending limits are based on google settings. Could add DKIM to make it more robust.

Changes the Relational Management Side of Business

07/12/2016

Our company loved Contactually so much that we integrated it into one of our main tools offered to our real estate agents. We are an "Enterprise" company with Contactually. When we launched, we had our own dedicated coach who held our hand through the 6 week adoption time. He did webinars, called to check in, and still (a year later) checks in regularly.

Pros

It integrates with Google accounts - if you did nothing more than use the integration, you'd be miles ahead of your competition.

Cons

It's a little glitchy here and there, but the support team is quick to look into those issues for us.

Powerful, Easy, and Makes Me $$$

30/11/2016

Contactually really is the best CRM I've used. It does take some effort to learn, but I've found that with all CRMs. If you take some time to understand how it works, it will literally do your job for you. The amount of relationships that it maintains for me really is unbelievable.

Solid, but couldn't commit

07/10/2016

I have had a tumultuous relationship with Contactually. I first signed up a few years ago when the price point was around $20 for the starter package. I cancelled my subscription after about a year because I wasn't using it. Looking for another CRM solution, I ended up coming back to Contactually, but they raised their prices significantly. I begrudgingly signed on again and recently cancelled. It is a great product in theory, but you have to work hard to maintain it. I just don't have the discipline to be bucketing each person I interact with. It has tons of great features and if you can commit to it, good for you. It didn't work out for me.

GetApp Analysis

Contactually is a web-based customer relationship management suite that allows people to oversee and manage their communication activities through a well built, easy to use interface. The software is suitable mainly for small and medium sized companies that want to stay in contact with their key contractors, collaborators and suppliers, or freelancers that need to bring their multiple clients under one solid communication platform.

The suite is able to import contacts from an existing account and allows users create categories for their contacts, merge accounts, use templates, or even automate actions such as follow-up emails. Members of a team can share contacts and take on specific roles while remaining well coordinated.

Contactually can play the decisive role of a virtual prompter reminding users of pending contacting activities, or that of a virtual assistant who can be instructed to follow a certain pipeline of actions using separate programs with custom steps. This way, users are relieved from the daily burden of having to review, schedule and perform standard communications.

What is Contactually?

The main purpose of Contactually is to offer advanced communication management features that relieve users from the usual wasted time that comes from the preparation and execution of routine communication tasks. It allows users to import their contacts to the system, categorize them into "buckets" and then set certain programs and pipelines which can be used to automate certain chain mails, or other activities.

The benefits of using Contactually are made evident in the time saved and through more efficient communication. Additionally because communication with contacts is consistent, the sense of professionalism is enhanced for the clients through the use of a clear and stable system. Moreover, the staggering of an established relationship is successfully avoided, while potential opportunities are better exploited.

Main Features

Dashboard

The intuitive dashboard allows users to take a quick glance of their tasks, reminders, information about relationships, communication statistics and due dates. The general management grade stands at a prominent position here, and various suggestions are offered in order to improve it immediately.

All items on the dashboard are generated automatically from the user's action scheduling which can use different follow up settings to get notified in certain time intervals and via various means such as email and phone. This way users basically never miss a due date and you can track your progress in an easier and more accurate way.

Email templates

One of Contactually's biggest time savers is the email templates feature that helps users build a variety of communication approaches. Using this feature, users can quickly send emails of effective content while at the same time remaining personal and dedicated to each recipient.

To create, delete and edit templates, users go into Settings/Email Templates and then click on the corresponding button. From there one can easily use the provided fields of data that can be later populated by the recipient's information such as his/her name, phone number, company and last time of contact. Every time the "follow up" button is pressed while on Dashboard, users are provided with all available templates and by clicking them they add them to their message.

Article sharing

One of the things that make Contactually stand out when compared to similar applications is its ability to share articles. Users can quickly share interesting articles and media (video, images) with their contacts, based on their set interests and preferences. This way people will get positively engaged and relationships with contacts will be kept warm and active.

Using this feature is as simple as adding a special button in the browser. This button adds the article you're reading to your Contactually Articles to Share when pressed. This is simply done through Settings/Articles Sharing from where users can drag the button to their bookmarks bar, or simply enter the article url and share it will all contacts, or accounts of certain buckets.

Programs

For contacting actions that happen in canonical and/or pre-set time intervals, there is the Programs tool that will free users from that burden. Programs are sets of actions that concern particular buckets or contacts, and can be executed either automatically or after the user's approval.

With programs, users can automate time and resource hungry operations such as the execution of drip email marketing campaigns, the sending of connection requests to all contacts in all supported social media platforms, and the sending/receiving of follow-up reminders from and to important contacts.

Pipelines

While all the above are great tools to help users get things done in a much easier and more efficient way, the Pipelines screen is where it all adds up and ones work can be actually evaluated, the progress accurately estimated and the processes closely monitored. Through this visualization, users can feel sure that apart from the Contactually notifications, they can also check their Pipelines and get a complete picture of what is to be done, what is in the process and what is due.

While Pipelines can be used for monitoring purposes, they also constitute a powerful management tool. From the Pipelines screen, users can set task priorities, measure and take advantage of sale opportunities, share info with colleagues and collaborate towards the completion of team goals.

Integrations

Integrating with as many online services as possible is of utmost importance for a platform that aims to bring all contacts together. Contactually integrates with Linkedin, Gmail, Facebook and Twitter, covering virtually any need for marketing and promotion activities in popular platforms.

To further enhance the interoperability and usability of the software, Contactually also integrates with the Mad Mimi marketing software, the Zapier integration platform and the Mail Chimp email solution that is quite popular among marketing departments.

Pricing

Contactually comes in three different flavors that offer an increasingly richer set of features and abilities for their users. Starting from the (basic) Premium plan, it offers unlimited contacts, email support, conversation tracking and search & share team contacts at the price of 17.99$ per user per month. Going up to the small business plan, it adds phone support, templates, introductions, bulk messaging, real-time team dashboard and account management at the cost of 35.99$ per user per month.

The Enterprise plan which costs 99.99$ per user per month, adds custom reporting, audit logging and granular security to the available features list. You can skip all this and get started with the trial version that offers the abilities of the basic package for a period of 30 days which will be more than enough to estimate your needs and how Contactually can cover them.

Bottom Line

  • Advanced Contacts Management
  • Program automation and Pipeline statistics
  • Bulk Messaging and Scale mail
  • Templates and Introductions
  • Team Dashboards
